Your Team

Join Flair’s Talent team, where hiring exceptional talent supports the continued growth of the organization. Reporting to the Manager, Talent, the Talent Acquisition Assistant provides administrative and coordination support throughout the recruitment process. This role is responsible for coordinating interviews, maintaining recruitment records, supporting pre-employment and onboarding activities, and serving as a primary point of contact for candidates and leaders throughout the hiring process.

Working collaboratively with the recruitment team, the Talent Acquisition Assistant helps ensure hiring activities are organized, completed accurately, and delivered in accordance with company policies and applicable legislation.

A Day In The Life
  • Provide administrative and coordination support to the Talent Acquisition team throughout the recruitment process.
  • Monitor the Talent Acquisition inbox, respond to general recruitment inquiries, and direct candidates, hiring managers, and internal stakeholders to the appropriate Talent Acquisition team member.
  • Prepare and post job advertisements on internal and external job boards.
  • Coordinate interviews by scheduling candidates, managing calendars, and preparing interview materials.
  • Support candidate screening activities by completing initial application reviews, as directed.
  • Coordinate pre-employment activities, including candidate assessments, reference checks, background checks, and other pre-employment requirements.
  • Prepare recruitment and onboarding documentation, ensuring all required information is completed prior to an employee's start date.
  • Maintain accurate candidate records, recruitment documentation, and activity within the Applicant Tracking System (ATS) and other recruitment tracking tools.
  • Maintain recruitment trackers, interview schedules, and other recruitment records to support Talent Acquisition activities and reporting.
  • Support recruitment events, career fairs, and employer branding initiatives.
  • Identify opportunities to improve recruitment administration and coordination processes.
  • Perform other duties and responsibilities as assigned.

  • Education:
    • Bachelor's degree, Diploma in Human Resources, Business Administration, or a related field required.
  • Experience:
    • Minimum of 1–3 years of experience in talent acquisition, recruitment coordination, human resources, or an administrative support role.
    • Experience supporting the recruitment process, including interview coordination, candidate communication, and recruitment administration.
    • Experience maintaining recruitment records and working with Applicant Tracking Systems (ATS) or Human Resources Information Systems (HRIS).
    • Experience coordinating pre-employment activities, including background checks, reference checks, and onboarding documentation, is considered an asset.
    • Experience providing administrative support in a fast‑paced, customer‑service‑oriented environment.
  • Skills & Abilities:
    • Fluency in both English and French (written and spoken) is required.
    • Strong attention to detail with a high level of accuracy in data entry, documentation, and record management.
    • Excellent organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.
