Pavilion Cowork is seeking a Sales Coordinator to ensure our Pavilion Sales Team is organized, responsive and running smoothly. This role supports sales outreach, lead management, listing platforms, and administrative sales tasks while working closely with the Director, Pavilion Sales and the Location Operations Management Teams.

This is an ideal opportunity for someone early in their career who is organized, people-friendly, and interested in learning sales operations in a fast-paced, customer-focused and hospitality driven environment. You will often be the first point of contact for prospective members.

Core

Duties & Responsibilities
  • Support with outbound sales outreach efforts, including introductory emails, phone calls, text message and follow ups
  • Assist with prospect research and list generation for targeted outreach
  • Respond to inbound sales inquiries and route qualified leads appropriately
  • Schedule tours and sales meetings
  • Help ensure a polished and welcoming experience for prospective members and clients
  • Conduct tours for sales leads where needed
Lead Management & CRM
  • Maintain accurate and up-to-date records in the CRM
  • Log inquiries, tours, follow-ups and sales activity consistently
  • Ensure leads are tracked through the full sales funnel
  • Run basic CRM reports and assist with keeping our sales pipelines organized
Aggregators & Third Party Listing Sites
  • Manage and update Pavilion Cowork listings across aggregators and third-party platforms (e.g., coworking marketplaces)
  • Ensuring pricing, availability, photos and descriptions are accurate and current
  • Monitor incoming leads from these platforms and ensure timely follow-up
Sales Proposals & Contracts
  • Prepare sales proposals, pricing summaries, and membership agreements using brand-standard templates
  • Assist with contract administration, including tracking signatures and start dates
  • Coordinate with internal teams to ensure smooth onboarding after a deal close
Administrative & Team Support
  • Support sales tracking, reporting and documentation
  • Help maintain organized digital files related to sales and memberships
  • Assist with special sales projects or campaigns as needed
  • Collaborate with Location Operations Team to ensure a seamless member experience
  • Other tasks and duties as assigned and required
Who You Are

You are an organized, detail oriented individual in the early stages of your career who is excited to build hands‑on experience in a sales support role. You enjoy keeping things running smoothly and take pride in being reliable, responsive, and well‑organized. You’re comfortable communicating with people by email, phone or in person, and you approach every interaction with professionalism and a hospitality oriented mindset.

You’re naturally curious and eager to learn, especially when it comes to sales processes, customer journeys and utilizing software to streamline processes and to stay organized. While you may not have extensive sales experience yet, you’re confident enough to engage with prospective members, ask questions, and follow established processes to support the Sales Team effectively.

You thrive in a fast‑paced environment where no two days are exactly the same, and you’re able to manage multiple tasks without losing attention to detail. You’re proactive, willing to ask for clarification when needed, and motivated by contributing to a team’s success. An interest in coworking, hospitality, real estate or community‑focused businesses is a strong asset.

In addition to these qualities, you possess:
  • 2 to 4 years of experience in administrative and sales support or customer service
  • Strong organizational and time management skills
  • Proficient in Google Workspace applications as well as Microsoft and Adobe. Willingness to learn new software as needed. Knowledge of Pipedrive and/or Hubspot is an asset.
  • Excellent verbal and written communication skills and fluency in English.
  • Positive attitude and willingness to learn.
  • Adaptable and flexible, able to work in a fast paced environment, both independently and as part of a larger team.
