Administrative Assistant II

Contract

Work Schedule

Monday through Friday, standard business hours (8:30 AM – 5:30 PM). Some flexibility may be required based on business needs.

Position Summary

We are seeking a highly organized and detail-oriented Administrative Assistant II to provide advanced administrative and operational support to management and departmental teams. The ideal candidate will be responsible for coordinating administrative activities, maintaining records, supporting projects, preparing reports, organizing meetings, and ensuring efficient day-to-day office operations.

The successful candidate must demonstrate strong communication skills, the ability to handle multiple priorities, proficiency with Microsoft Office applications, and a commitment to maintaining confidentiality and professionalism.

Essential Duties and Responsibilities
  • Provide high-level administrative support to managers, departments, or project teams.
  • Research, collect, verify, and analyze information for reports, presentations, and business documents.
  • Assist in preparing, tracking, and monitoring budgets and expenses.
  • Create and maintain databases, spreadsheets, and tracking systems.
  • Support project planning activities by maintaining schedules, project plans, and status updates.
  • Coordinate meetings, prepare agendas, document meeting minutes, and distribute follow-up materials.
  • Draft, review, and prepare correspondence, reports, and other business communications.
  • Ensure documentation complies with company policies, procedures, and quality standards.
  • Maintain organized filing systems, both electronic and physical.
  • Coordinate office supplies and equipment purchases as needed.
  • Arrange business travel, accommodations, and expense reporting.
  • Screen, route, and respond to incoming calls, inquiries, and customer concerns.
  • Assist with special projects and administrative initiatives as assigned.
  • Collaborate with cross-functional teams to ensure timely completion of deliverables.
Minimum Qualifications
  • High School Diploma, GED, or equivalent required.
  • Minimum of four (4) years of administrative support experience; or an equivalent combination of education and experience.
  • Minimum of two (2) years of experience using Microsoft Office applications in a professional environment.
  • Strong proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and Teams.
  • Excellent organizational, time management, and multitasking skills.
  • Strong verbal and written communication skills.
  • Ability to handle confidential information with discretion.
Preferred Qualifications
  • Associate's Degree or Bachelor's Degree in Business Administration, Management, or a related field.
  • Experience supporting multiple managers, departments, or projects simultaneously.
  • Experience creating reports, tracking budgets, and maintaining databases.
  • Typing speed of 45 words per minute or greater.
  • Experience working in a corporate, healthcare, insurance, or professional services environment.
