The Food & Beverage Administrative Assistant provides comprehensive administrative and clerical support to the Food & Beverage Department. This position assists department leadership by coordinating schedules, maintaining records, supporting recruitment and onboarding activities, processing invoices and purchase orders, preparing reports, and ensuring efficient day-to-day administrative operations while maintaining confidentiality and professionalism.

Requirements

Required Qualifications
  • High school diploma or GED equivalent.
  • One (1) to three (3) years of administrative assistant or office support experience.
  • Proficiency with Microsoft Office Suite.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills.
  • Ability to maintain confidentiality.
Preferred Qualifications
  • Administrative experience in Food & Beverage, hospitality, gaming, or restaurant operations.
  • Experience using UKG Ready or similar systems.
  • Experience processing purchase orders and invoices.
  • Knowledge of inventory tracking and vendor coordination.
  • Associate degree in Business Administration or related field preferred.
  • Bilingual skills are a plus.

Physical Requirements

  • Ability to move throughout casino outlets and administrative offices.

Primarily performed in a professional office environment with frequent interaction throughout casino restaurants, bars, banquet areas, and back-of-house operations. May require occasional evenings, weekends, and holidays based on business needs.

Summary

Essential Duties and Responsibilities
  • Provide administrative support to the Director of Food & Beverage and department leadership.
  • Prepare correspondence, reports, spreadsheets, presentations, schedules, and departmental communications.
  • Maintain departmental files and electronic documentation.
  • Coordinate interviews with Human Resources and hiring managers.
  • Schedule interviews, orientation dates, and follow-up meetings.
  • Prepare onboarding paperwork as requested.
  • Post and distribute department schedules and schedule revisions.
  • Assist with attendance tracking, call-offs, schedule adjustments, and staffing reports.
  • Process purchase orders, invoices, receiving documentation, and expense records.
  • Coordinate vendor appointments and deliveries.
  • Maintain inventory records and order office supplies.
  • Compile weekly and monthly labor, attendance, and operational reports.
  • Maintain confidential team member files.
  • Assist with corrective action tracking and performance review scheduling.
  • Schedule meetings, prepare agendas, and record meeting minutes.
  • Assist with departmental projects and events.
  • Answer department telephones and respond to routine inquiries.
  • Communicate professionally with HR, Finance, Purchasing, Marketing, and other departments.
  • Perform other duties as assigned.
Performance Expectations
  • Coordinate hiring activities efficiently.
  • Ensure schedules are posted accurately and on time.
  • Process invoices and purchase documentation accurately.
  • Produce professional reports and correspondence.
  • Support department leaders with timely administrative assistance.
  • Provide exceptional internal customer service.
