Payroll Specialist

Description

Robert Half is recruiting a Payroll Specialist to own high-accuracy, multi-state payroll for a respected healthcare organization with 500-1,200 employees. If you're meticulous with compliance, quick with reconciliations, and comfortable with complex timekeeping rules, this is a fantastic, high-impact role.

Your Impact

+ Process multi-state, multi-cycle payroll (hourly/salaried, union/non-union where applicable)

+ Validate timekeeping (meal premiums, differentials, overtime) and resolve exceptions

+ Administer on-cycle and off-cycle runs, retro pay, and adjustments

+ Maintain employee data: new hires, transfers, terminations, tax updates, direct deposit

+ Reconcile payroll registers to GL; prepare journal entries and support month-end

+ Handle benefits/deductions: HSA/FSA, garnishments, 401(k), wage orders

+ File and reconcile quarterly/year-end tax reports (W‑2s, W‑3s, 1095-Cs in coordination with benefits)

+ Respond to employee inquiries with speed and professionalism; maintain strict confidentiality

+ Support audits and process improvements; help document SOPs

Requirements

+ 3-5+ years payroll experience; high-volume and multi-state required

+ Systems: ADP Workforce Now, UKG/Ulti Pro, or Paycom preferred; strong Excel

+ Knowledge of CA wage‑hour rules, meal/rest, overtime, sick time, and garnishments

+ Bonus: healthcare scheduling/timekeeping (Kronos/UKG Dimensions), union exposure, or CPP
