The Role
We’re looking for a curious, detail-oriented co‑op to help us document and improve how maintenance work happens in IBM Maximo, our enterprise maintenance management system. You’ll work closely with maintenance, engineering, quality, and system experts to map real‑world processes and turn existing instructions into clear, compliant, easy‑to‑use training documents.

Here’s What You’ll Do 1. Maximo Work Order Process MappingLearn how maintenance work requests move through Maximo—from initial request all the way to closure and historical records.
Create a clear, end‑to‑end process map that shows steps, decisions, handoffs, and system touchpoints.
Meet with stakeholders (maintenance, planners, engineers, system admins) to confirm accuracy and incorporate feedback.
Finalize an accurate process map that can be used for training, onboarding, and process improvement.
Take existing Work Instructions (WIs) and Job Aids (JAs) and convert them into Veeva‑compliant documents.
Update screenshots so they match the current Maximo system and workflows.
Make documents clearer, more consistent, and easier for users to follow.
Identify which training curricula each document should be tied to so the right roles get the right training.
Partner with quality and system owners to finalize documentation.
By the end of the co‑op, success looks like:
Process MappingA complete Maximo Work Order process map covering request → planning → execution → closure
Process map reviewed and validated by key stakeholders
Clear documentation of decision points, role responsibilities, and system usage
WIs and JAs converted into Veeva‑ready, audit‑friendly documents
Updated screenshots that reflect current system configuration
Each document mapped to one or more appropriate training curricula
Positive feedback from stakeholders on clarity and usability
Documentation that can be reused across sites
Reduced confusion or rework due to outdated or unclear instructions
Tangible deliverables that remain in use after the co‑op ends
Currently enrolled in a Bachelor’s or Master’s program (Engineering, Operations, Information Systems, Industrial Engineering, Quality, or related field)
Comfortable asking questions and working with different teams
Strong attention to detail and organization
Able to turn complex processes into clear visuals and written steps
Familiar with Microsoft Word, PowerPoint, and basic process‑mapping tools
This position is site‑based, requiring you to be at Moderna’s site full‑time. This position is not eligible for remote work.

Experience with IBM Maximo or another CMMS/EAM system
Exposure to manufacturing, maintenance, or regulated environments
Familiarity with SOPs, Work Instructions, or training materials
Any experience with Veeva or document management systems
Real‑world experience with an enterprise maintenance system
Exposure to quality and compliance in a regulated industry
Process improvement and stakeholder engagement skills
Deliverables you can point to on your resume and talk about in interviews
