Legal Secretary - Inland Empire
Fagen Friedman & Fulfrost LLP, California’s leading education law firm, seeks a legal secretary to join a collegial team of results-oriented practitioners in our Inland Empire Office.
OVERVIEWThe Legal Secretary will provide legal and administrative support to multiple attorneys. This essential, highly responsible, and accountable position requires the individual to work independently, anticipate needs, be proactive, maintain confidentiality, and demonstrate professionalism. The successful candidate must deliver excellent work and superior service to the Firm and the Firm’s clients. The candidate must also possess strong organizational and time management skills, communicate effectively, and be flexible as demands and priorities change.
REQUIREDDUTIES AND EXPERIENCE
- File management and document production.
- Develops and maintains databases; creates records, files, and maintains databases; screens and routes incoming calls, mail/inquiries as appropriate; tracks deadlines and deliverables; processes and maintains highly sensitive and confidential information appropriately; maintains calendars, schedules, meetings, and appointments for several attorneys, etc.
- Extensive experience with e-filing in administrative, state, and federal courts.
- Knowledge of court rules and civil procedures in State and Federal jurisdictions.
- Draft, proofread, and edit correspondence. Prepares, processes & files legal documents, including subpoenas and correspondence to clients, witnesses, and court officials; transcribes court proceedings and other recorded meetings, trial binders, and exhibits, contracts, summonses, appeals, and motions.
- Client interaction/communication with clients, courts, and attorneys.
- Legal calendaring via Juralaw and other electronic court rule programs.
- Management of multiple calendars, appointments, and travel arrangements.
- Coordinated travel arrangements, tracks expenses, and processes expense reports, including advances and payment requests; assists with logistics associated with travel.
- Assists other secretaries or administrative staff in filing, photocopying, or reception relief as requested by the Office Manager, Supervisor, or Attorneys.
- High school diploma or GED;
Associates/Bachelor's degree preferred - In-depth knowledge of Microsoft Office Suite, Coyote timekeeping, and DMS (iManage) or similar software
- A minimum of THREE (3) years of experience as a litigation secretary working with multiple attorneys; transactional law and administrative hearing knowledge is a plus
Salary:
Hourly wage ranges from $30.00 to $40.00, based on experience.
