Job Summary / Purpose

The Operations Specialist supports and enhances Excelta’s day‑to‑day operational performance. This role will play a critical part in inventory control, procurement support, and logistics coordination, while driving process improvements across the organization. The ideal candidate thrives in a fast‑paced, compliance‑driven environment, is highly organized, and brings hands‑on experience with ERP systems, inventory management, and cross‑functional coordination.

Key Tasks & Responsibilities
  • Analyze operational workflows within inventory, logistics, manufacturing and procurement to identify opportunities for efficiency gains and cost reduction.
  • Support inventory management processes, including cycle counts, reconciliation, and material tracking to ensure accuracy and availability.
  • Collaborate with procurement, production, and quality teams to ensure timely availability of materials and smooth workflow execution.
  • Monitor and report on key performance indicators (KPIs), such as inventory accuracy, on‑time delivery, and material shortages.
  • Assist in the development, documentation, and enforcement of standard operating procedures (SOPs) aligned with quality and compliance standards.
  • Support purchasing and planning functions by coordinating requisitions, supplier communication, and material flow.
  • Participate in continuous improvement initiatives (e.g., Lean, 5S, Kaizen) to enhance operational performance.
  • Maintain accurate records and documentation within ERP and warehouse management systems.
  • Support cross‑functional projects by coordinating timelines, tracking deliverables, and communicating with stakeholders.
  • Support project management efforts by coordinating resources, timelines, and stakeholder communications.
  • Conduct regular audits of operational processes to ensure adherence to quality standards and regulatory requirements.

Requirements Preferred Education, Experience, Knowledge, Skills & Abilities Education

Bachelor's degree in Business Administration, Operations Management, or equivalent work experience.

Experience, Skills, Capabilities
  • 2+ years of experience in operations, process improvement, or a related area.
  • Proficiency in data analysis tools and software, including Excel and project management software.
  • Excellent analytical and problem‑solving skills with a keen attention to detail.
  • Experience in a fast‑paced environment and familiarity with Lean or Six Sigma methodologies.
  • Strong verbal and written communication skills.
  • Ability to work collaboratively with diverse teams and drive change initiatives.
  • Proficient in using project management tools (e.g., Asana) and data visualization software (e.g., PowerBI).
  • Understanding of ERP systems and operational software solutions.
  • Familiarity with compliance regulations and quality management systems.
  • Strong organizational and multitasking abilities, with a proactive approach to problem‑solving.
  • Ability to thrive in a collaborative environment and foster positive relationships with team members.
  • Adaptability and resilience in the face of changing priorities and new challenges.
