Job Title:
Receptionist
The Receptionist provides high-level administrative and front desk support by welcoming visitors, managing incoming calls, coordinating packages, and performing a variety of clerical and office support tasks. This role operates in a Monday through Friday, 8:00 a.m. to 5:00 p.m. schedule and has the potential to become a permanent position for the right individual.
Responsibilities- Greet and warmly welcome visitors upon arrival and direct them to the appropriate person or area.
- Provide accurate information to visitors and callers, ensuring a professional and helpful experience.
- Answer and manage telephone calls or the console switchboard, routing calls and taking messages as needed.
- Receive, log, and send packages via couriers, ensuring timely and accurate handling.
- Maintain a detailed visitor log and call record to support security and operational needs.
- Issue and track security passes and badges for visitors and contractors.
- Perform clerical tasks including typing, filing, photocopying, and data entry to support office operations.
- Maintain the boardroom schedule by booking meetings and ensuring the room is prepared and available as needed.
- Monitor and maintain boardroom equipment, reporting any issues and ensuring proper functioning.
- Prepare mailers and bind books or documents as required for internal and external distribution.
- Support general facility checks, ensuring common areas are presentable and stocked with necessary supplies.
- Assist with stocking inventory and office supplies, notifying appropriate personnel when items need replenishment.
- Collaborate with colleagues to provide consistent, high-quality customer service to internal and external clients.
- Handle sensitive information with discretion and maintain strict confidentiality at all times.
- Strong verbal and written communication skills to interact effectively with visitors, callers, and colleagues.
- Proven ability to multi-task and manage several responsibilities simultaneously in a busy front desk environment.
- Customer service skills with a friendly, professional, and helpful demeanor.
- Interpersonal skills to build positive relationships and work collaboratively with a variety of stakeholders.
- Ability to work independently, prioritize tasks, and manage time effectively.
- Ability to keep information organized, accurate, and confidential.
- Previous experience using computer applications such as Microsoft Word, Excel, and PowerPoint.
- High school diploma or equivalent required.
- 0–2 years of experience in a receptionist, front desk, or administrative support role.
- Experience answering telephones and operating a multi-line phone or switchboard system.
- Experience with client greeting and front desk reception duties.
- Basic data entry skills with attention to detail.
Skills & Qualifications
- Experience providing customer service in an office or professional environment.
- Familiarity with Microsoft Office suite, including Word, Excel, and PowerPoint, for basic document creation and data handling.
- Comfort performing facility checks to ensure meeting rooms and common areas are clean, organized, and ready for use.
- Experience stocking inventory and managing office supplies.
- Ability to prepare mailers and bind documents or books for meetings, presentations, or client communications.
- Strong communication skills for interacting with visitors, callers, and internal teams.
- Adaptability and willingness to assist with additional administrative tasks as needed.
This position is based in a professional office environment with a standard Monday through Friday schedule from 8:00 a.m. to 5:00 p.m. The role centers around the front desk and common areas, including the reception area and boardroom. You will regularly use office technologies such as a telephone console or switchboard, computers, and the Microsoft Office suite (Word, Excel, PowerPoint) to complete daily tasks.
