Cluster Sales Coordinator

Location: Alamo

The hotel sales coordinator supports the hotel with administrative tasks and generates top-line revenue by bringing in new customers, as directed by the Regional Director of Sales. They are a direct link between the hotels and the sales team to ensure seamless communication. Responsibilities include, but are not limited to, promoting the hotel at trade shows, arranging hotel accommodation for clients, handling special requests, completing assigned administrative duties, and promptly responding to client inquiries.

ESSENTIAL FUNCTIONS:

1) Assist with developing and maintaining the business/marketing plan with the Cluster Sales team.
3) Qualify leads and prospects gained from tele-prospecting, cold calls, sales blitzes, and other lead sources4) Establish and maintain close contact with top and target accounts through phone calls, appointments, tours, written correspondence, and entertainment. Assess the future and current needs of the client.
5) Coordinate and participate in associate functions, client and guest events, community events, and sales blitzes with team.
6) When on property, set up tables, chairs, and linens. Set and refresh all food and beverages, trash, vacuum, and sanitize rooms for events8) Prepare final bills and code invoices for events and submit them on a timely basis to RDOS for approval before sending them to the client or vendor9) Take, modify, and cancel guest reservations, noting any special requests
10) Handle tours and schedule potential site tours with clients as requested
11) Handle and qualify all incoming calls to the sales department office line and conduct prospecting calls as requested. Submit qualified lead to the corresponding Director.
12) Submit quotes on brand systems, CVENT, and other lead-generating sites
13) Assist with updating the sales tracking system and scan documents to be emailed to clients. Create proposals, contracts, and BEO’s as needed and manage communication with the hotel teams for group follow up. Maintain accurate sales files, and trace system on top and target accounts in the company sales tracking system
14) Build rooming lists in PMS system and assist with adding additional sleeping rooms as approved
15) Build and assist with sales and event bookings and send pickup reports as requested by the client
16) Attend sales meetings and prepare the revenue call agenda before the call if needed
17) Prospect a list of company and referral leads generated through research, networking, social media, and special events
18) Manage all social media for the hotels
19) Assist the sales team by managing schedules, filing important documents, and communicating relevant information

These duties may require you to frequently bend, lift, carry, twist, push, pull, reach, kneel, and may require prolonged standing and/or walking periods. Must be able to lift, push, and pull a minimum of 50 pounds. You will be trained to perform all these functions within the required safety guidelines and expectations.
