We are a well-established, highly regarded medical spa in Camarillo seeking an experienced and motivated Front & Back Office Medical Lead to join our growing team. Position Summary

The Front & Back Office Medical Lead oversees and actively participates in daily clinical and administrative operations. This role requires a certified Medical Assistant or an experienced medical professional with a strong background working in a medical office and in a leadership or management capacity.

You will be responsible for guiding the team, optimizing workflow, maintaining compliance standards, and ensuring every patient interaction reflects the elevated standards of our practice.

A minimum of 4 years of combined clinical and administrative experience in a medical spa, dermatology, plastic surgery, or comparable medical setting is required.

Key Responsibilities
  • Leadership & Operations — Serve as the primary point of contact for daily front and back office operations. Lead, mentor, and support medical assistants and front desk team members. Oversee patient flow, provider schedules, and room turnover to maximize efficiency. Act as liaison between providers, staff, and ownership. Identify and implement process improvements to enhance productivity and client experience.
  • Front Office Management — Oversee scheduling, check-in/check-out, payment processing, and phone support. Ensure concierge-level customer service standards. Maintain accuracy of EMR documentation, consents, and patient records. Manage memberships, retail transactions, and account discrepancies.
  • Back Office & Clinical Oversight — Assist providers with non-surgical aesthetic procedures and clinical preparation. Ensure compliance with sterilization and safety protocols. Maintain inventory control for retail and clinical supplies. Train and onboard new clinical and administrative staff. Ensure treatment rooms are fully stocked, sanitized, and patient-ready.
  • Sales & Growth Support — Support team in client follow-ups and outreach initiatives. Promote retail products, treatment packages, and memberships. Monitor inbound leads and ensure timely follow-up. Contribute to monthly booking, revenue, and retention goals.
  • Administrative Excellence — Perform and supervise opening/closing procedures and daily reconciliations. Ensure adherence to HIPAA and internal policies. Report operational issues proactively with solutions. Participate in strategic meetings and growth initiatives.
Required Qualifications
  • Certified Medical Assistant (MA) OR formal medical background with proven experience working in a medical office and in a leadership/management role.
  • Minimum 4 years of experience in a medical spa, dermatology, plastic surgery, or aesthetic medical setting.
  • Demonstrated leadership experience managing or coordinating teams.
  • Strong knowledge of EMR systems and scheduling platforms.
  • Experience supporting aesthetic procedures and understanding of skincare products and treatments.
  • Excellent communication, organizational, and problem-solving skills.
  • Ability to manage both clinical and administrative responsibilities effectively.
  • Associate’s degree or relevant certification preferred.
  • Bilingual (Spanish) preferred but not required.
