CAEOP High School Assistant ASB Secretary/Bookkeeper

High School ASB Administrative Assistant/Bookkeeper

Hours: 4 hours/day

Salary: $32.72 - $33.47

Reports to: Assigned Administrator

Status: CAEOP Level III

Purpose: The HS ASB Administrative Assistant/Bookkeeper is responsible for ASB compliance and maintaining district ASB financial records. Works closely with school administration, students and parents, school staff and district business office.

Essential Functions
  • Provide administrative support to include tasks such as creating correspondence, generating reports, answering phones and taking messages, and serve as district liaison in a courteous and professional manner.
  • Maintain the ASB financial records and accounts for the high school to ensure that revenue and disbursements are properly accounted for and documented.
  • Ensure that all ASB financial activity conforms to state and district regulations. Provide support and guidance to establish conformity.
  • Receive payments, disburse funds and manage accounts receivables associated with school activities, fee assessments, and fundraisers.
  • Prepare all ASB financial reports as needed in cooperation with the business office, administration, advisors, and coaches.
  • Work with the business office and school administrators to prepare the annual ASB budget for board approval.
  • Participate in annual state audit of all ASB activities and accounting.
  • Act as liaison and train ASB officers, club officers and advisors, administration, and coaching staff regarding fundraising and school activities to ensure their compliance with required paperwork, ASB State rules, regulations, and deadlines.
  • Works closely with other department support staff to provide coverage and assistance as needed.
  • Other related duties as assigned for the successful operations of the school and the district.

Professional Qualifications
  • High school diploma or equivalent required. Post high school education or administrative support training preferred.
  • Two years of secretarial experience, preferably in an educational environment. (A combination of successful experience and education may be substituted for numbers 1 and
    2).
  • Ability to use multiple forms of technology to include MS Office Suite, G Suite, and familiarity with school financial and student software systems such as WSIPC, WESPaC, In-Touch Receipting, Quicken, and EPES Financial software.
  • Ability to assist parents, staff, and the community with questions or information related to ASB activities.
  • Possess excellent writing and editing skills.
  • Must be willing to be flexible and do additional related jobs as assigned.
Physical Requirements /Environmental Conditions
  • Requires prolonged sitting or standing.
  • Must work in noisy and sometimes crowded environments.
  • Some evening and weekend work may be required for special events.
  • Maintain district required health and safety trainings.

The usual and customary methods of performing the job's functions require the following physical demands:
Generally, the job requires 10% sitting, 50% walking, and 40% standing. The job is performed in a generally clean and healthy environment.
