Purpose:
The Registrar coordinates registration and withdrawal of students including student record management, creation of master schedule and performing monthly enrollment count. Provides administrative support to students, staff and families.
- Provide administrative support to include tasks such as creating correspondence, generating reports, answering phones and taking messages, and serve as district liaison in a courteous and professional manner.
- Work cooperatively with the Systems Support Specialist, administration, counselors and student services staff to enroll and/or withdraw students.
- Use Skyward student data system (or current program) to complete class forecasting and scheduling, and up to date student schedules. (Middle School)
- Coordinate boundary exceptions, open door, and special program student enrollments with the Systems Support Specialist.
- Develop and maintain student cumulative files, including requesting student records from previous school/district and providing records upon request. Manage and maintain a highly organized student record system.
- End of year roll up and year end file transfer. (Middle School)
- Maintain student information and create reports in the Skyward student management software systems (or current programs).
- Maintain the school master schedule in Skyward (or current program).
- Assist in the administration of student grades and grade reports every six weeks to include coordinating deadlines with teachers, running and reviewing reports, entering grades into Skyward (or current program), and producing individual student grade reports. (High School)
- Maintain and manage Federal, State, and local reports as required including the monthly enrollment count report (P223).
- Assist with student orientation and forecast activities in conjunction with counseling staff and administrators. (Middle School)
- Coordinate student grading entries, reporting and distribution. (Middle School)
- Enter earned student credits and prior school transfer credits on student transcripts. (High School)
- Provide student transcripts as requested and provide support regarding Parchment program transcript orders. (High School)
- Complete social security, military, child support and DSHS paperwork as needed. (High School)
- Maintain all Juvenile Detention Housing records. (High School)
- Works closely with other department support staff to provide coverage and assistance as needed.
- Other related duties as assigned for the successful operations of the school and the district.

- High school diploma or equivalent required. Post high school education or administrative support training preferred.
- Two years of secretarial experience, preferably in an educational environment. (A combination of successful experience and education may be substituted for 2 years of experience).
- Ability to use multiple forms of technology to include MS Office Suite, Google Suite, Outlook, Frontline and Skyward/Qmlativ.
- Ability to assist parents, staff, and the community with questions or information related to the school and district.
- Possess excellent writing and editing skills.
- Maintain current First Aid/CPR certificate as well as other district health and safety trainings.
The usual and customary methods of performing the job's functions require the following physical demands:
Generally, the job requires 50% sitting, 30% walking, and 20% standing. The job is performed in a generally clean and healthy environment.
