Office Operations Coordinator Position Summary
As an Office Operations Coordinator you’ll play a key part in keeping a fast‑paced manufacturing environment running smoothly and efficiently. This role is ideal for someone who thrives on structure, enjoys being the go‑to problem solver, and is ready to expand their skill set into HR, employee engagement, and cross‑departmental support.
You’ll take ownership of essential daily functions—from coordinating internal events and supporting payroll and basic HR processes to managing vendor relationships, access control programs, and general operational needs. Your strong organizational instincts, attention to detail, and polished communication will help drive a positive employee experience and strengthen the overall effectiveness of the HR team.

Salary Range: $50,000 to $55,000 annually (this position is eligible for overtime)
Schedule:
Monday - Friday 8:00 am - 5:00 pm Onsite
- Serve as primary administrative support to the HR Manager, handling confidential correspondence, and document preparation.
- Provide administrative support to the plant and leadership team as needed.
- Maintain accurate and compliant employee information in HRIS systems, files, and records in accordance with company policies and regulatory requirements.
- Assist with onboarding logistics, including preparation of new hire materials and orientation coordination, and basic benefits administration and Associate support.
- Assist in the recruiting process by opening requisitions, posting jobs, coordinating interviews, conference rooms, and meetings.
- Support execution of company policies, communications, and HR initiatives across the plant.
- Maintain strict confidentiality of sensitive company, employee, and operational information, ensuring records and communications are handled with discretion.
- Maintain office supply inventory, event supply, and purchasing workflows to ensure operational readiness.
- Support front‑of‑office responsibilities including visitor check‑in and telephone reception, and conference rooms.
- Recommend and implement continuous improvements in administrative processes.
- Coordinate with other areas such as Safety, Quality, and Production to ensure that personnel comply with the training required by regulations or audits.
- Assist HR with presentations for HR related initiatives, trainings, job fairs, group events, and recognition events.
- Assist with coordinating and executing numerous fun company events, recognition programs, volunteer initiatives, open enrollment, new hire onboarding, onsite interviews, scholarship programs, MVP awards, holiday functions.
- Handle event logistics including purchasing materials, catering, scheduling, and assist with communication rollouts.
- Monitor engagement participation metrics and budget allocations.
- Develop visually engaging flyers, posters, digital signage, and communication materials aligned with branding standards.
- Maintain bulletin boards and communication displays with accurate and timely information.
- Assist with timekeeping related processes, timecard badge, new hire set up.
- Process employee expense reimbursements, track transactions, and maintain organized audit‑ready files for Associates and vendors providing services.
- Maintain issuance, activation, deactivation, and replacement of employee access badges.
- Track badge assignment records and ensure correct access permissions for roles and departments.
- Collaborate with Safety and IT teams to maintain plant security and compliance records.
- Manage uniform inventory, distribution, and size tracking for all eligible employees.
- Coordinate vendor communication, and budget adherence for assigned programs.
