Overview
Hyatt Regency Chesapeake Bay is seeking a highly motivated and experienced Operations Coordinator. This role supports the daily functions of the hotel’s Rooms, Food & Beverage, and Culinary departments. This role ensures smooth administrative flow, accurate documentation, and timely completion of operational tasks. The ideal candidate is organized, detail‑oriented, and comfortable coordinating across multiple teams in a fast‑paced hospitality environment.
What You7ll DoAdministrative & Office Support
- Manage daily paperwork, logs, checklists, and departmental documentation
- Maintain organized digital and physical filing systems
- Prepare reports, memos, schedules, and internal communications for Operations leadership
- Assist with ordering office supplies and maintaining inventory
- Support department heads with meeting preparation, agendas, and minutes
Payroll & Labor Management
- Process daily and weekly payroll inputs for Rooms, F&B, and Culinary teams
- Verify timecards, attendance, and labor accuracy before submission
- Track PTO, sick time, and attendance records
- Assist managers with labor forecasting and schedule compliance through Productivity
Operations Coordination
- Serve as a central communication point between Rooms, F&B, and Culinary leadership
- Support onboarding tasks for new hires (paperwork, uniform distribution, training schedules)
- Maintain departmental SOPs, training materials, and compliance documents
- Assist with coordination of hotel-wide initiatives, audits, and special projects
Guest & Internal Service Support
- Assist with follow-up on guest feedback, service recovery documentation, and operational notes
- Support managers with event preparation, banquet paperwork, and outlet administrative needs
- Coordinate with Engineering, Housekeeping, and Front Office for operational requests

Previous administrative or hotel operations experience preferred
Strong organizational and multitasking abilities
Proficiency in Microsoft Office and hotel systems (Opera, ADP, HotSOS, Infrasys, etc. preferred)
Excellent written and verbal communication skills
Ability to maintain confidentiality and handle sensitive information
Professional, positive, and service driven demeanor
