Position: CONFERENCE SERVICES ATTENDANT (FULL TIME)

CONFERENCE SERVICES ATTENDANT

We are hiring immediately for a full time conference services attendant position.

Location:

AstraZeneca - 290 Binney Street, Cambridge, Massachusetts 02142.

Note:

Schedule:

Full time;
Monday through Friday, 7:30 am to 4:00 pm or 8:00 am to 4:30 pm. More details upon interview.

Requirement:
Prior customer service experience is preferred.

Key Responsibilities
  • Logistical & Administrative Support:
    Serve as the primary support for the Meetings & Events Manager by handling advanced planning, budget tracking, and the execution of high-priority projects.
  • End-to-End Event Coordination:
    Manage the full lifecycle of diverse events—from R&D team meetings and town halls to large-scale holiday gatherings—including the development of timelines, run-of-show documents, and floor plans.
  • Vendor & Stakeholder Liaison:
    Act as the central point of contact for internal teams (AV, Catering, IT) and external vendors, overseeing contract negotiations and ensuring high‑quality service delivery.
  • On‑Site Operational Oversight:
    Lead all on‑site activities, including setup, registration, and breakdown, while providing proactive, real‑time problem‑solving to ensure seamless execution.
  • Qualified Industry Professional:
    Requires a Bachelor’s degree and 3+ years of experience, ideally within a corporate or biotech environment, with a proven ability to manage multiple projects simultaneously in a fast‑paced setting.
Detailed Duties
  • Moves and places tables, chairs, and supply linens for each event in the conference center.
  • Supplies and sets up items not included in the room (flip charts, whiteboard, screens, etc.).
  • Assists with conference room readiness to determine that the rooms are equipped with proper materials (pens, pads, handouts, event packages, etc.).
  • Refreshes rooms between meetings.
  • Provides prompt and detailed service as scheduled by management or by request.
  • Maintains consistent phone and email communication with clients, guests, team members, and support departments.
  • Offers assistance to clients and visitors throughout the building, including providing directions and escorting to conference rooms.
  • Communicates with co‑workers and service partners to ensure updated information is shared.
  • Provides recommendations to planning managers regarding appropriate room setups. Collaborates to identify solutions for unique setup challenges.
  • Conducts weekly site inspections of meeting rooms and contacts the necessary department if items require service.
  • Assists with basic audio visual equipment, as needed.
  • Maintains inventory of all supplies and notifies supervisors when additional supplies are needed.
  • Performs other duties as assigned.
Qualifications
  • Previous customer service or houseman/porter experience preferred.
  • Ability to lift up to 50 pounds.
  • Working knowledge of Microsoft Office products.
  • Excellent written and verbal communication skills.
  • Excellent organizational and time management skills.

Additional Information

Pay Range: $29.00 per hour to $42.00 per hour. Perks: $350 per month Commuting Stipend.
