Position OverviewOur client is seeking a highly organized and proactive Project / Administrative Assistant to support their consulting team in delivering client projects efficiently and on schedule. This role combines project coordination, administrative support, and client-facing communication. The ideal candidate thrives in a fast‑paced, professional services environment, demonstrates strong attention to detail, and can manage multiple priorities with discretion and professionalism.
Key Responsibilities Project Coordination- Support Partners with planning, scheduling, and tracking project activities and deliverables
- Maintain project documentation, timelines, and status reports
- Coordinate internal resources and third parties/vendors for project execution
- Monitor deadlines and follow up on outstanding tasks and action items
- Prepare project meeting agendas, take minutes, and distribute follow‑ups
- Assist with resource allocation and capacity tracking
- Manage calendars, schedule meetings, and coordinate logistics
- Prepare and format client presentations, reports, and proposals
- Maintain organized electronic and physical filing systems
- Handle expense reports, timesheet tracking, and invoice coordination
- Support onboarding of new team members and general office operations
- Serve as a point of contact for internal team members and external clients
- Draft and proofread correspondence and project communications
- Coordinate workshops, events, and client meetings (virtual and in-person)
- Ensure a high level of professionalism and responsiveness in all interactions
- Bachelor’s degree in Business Administration, Communications, or related field
- 2+ years of experience in a project coordination, administrative, or consulting support role
- Strong organizational and time-management skills with the ability to multitask
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- High attention to detail and problem-solving skills
- Ability to handle confidential information with discretion
- Organization and prioritization
