Position: Project / Administrative Associate

Location: Cambridge, MA / Hybrid / FREE Parking

Salary: $85K - $95K + Bonus, 401K Match, and 100% Company Paid Healthcare

Position Overview

Our client is seeking a highly organized and proactive Project / Administrative Assistant to support their consulting team in delivering client projects efficiently and on schedule. This role combines project coordination, administrative support, and client-facing communication. The ideal candidate thrives in a fast‑paced, professional services environment, demonstrates strong attention to detail, and can manage multiple priorities with discretion and professionalism.

Key Responsibilities Project Coordination
  • Support Partners with planning, scheduling, and tracking project activities and deliverables
  • Maintain project documentation, timelines, and status reports
  • Coordinate internal resources and third parties/vendors for project execution
  • Monitor deadlines and follow up on outstanding tasks and action items
  • Prepare project meeting agendas, take minutes, and distribute follow‑ups
  • Assist with resource allocation and capacity tracking
Administrative Support
  • Manage calendars, schedule meetings, and coordinate logistics
  • Prepare and format client presentations, reports, and proposals
  • Maintain organized electronic and physical filing systems
  • Handle expense reports, timesheet tracking, and invoice coordination
  • Support onboarding of new team members and general office operations
Client & Team Communication
  • Serve as a point of contact for internal team members and external clients
  • Draft and proofread correspondence and project communications
  • Coordinate workshops, events, and client meetings (virtual and in-person)
  • Ensure a high level of professionalism and responsiveness in all interactions
Qualifications
  • Bachelor’s degree in Business Administration, Communications, or related field
  • 2+ years of experience in a project coordination, administrative, or consulting support role
  • Strong organizational and time-management skills with the ability to multitask
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • High attention to detail and problem-solving skills
  • Ability to handle confidential information with discretion
