Office Administrator/ Coordinator
Role Overview
The Full‑time Administrative Associate will provide administrative support to professional, technical and engineering co‑workers at various levels within the BBN's Collaborative Administration Group (POST).
What You Will Do- Provide administrative support to senior leaders and employees; maintain senior leader calendar.
- Answer routine questions on policies and procedures, expense reporting, group meals, etc.
- Coordinate internal meetings and functions, arrange visitors, order catered food.
- Facilitate meetings, drive slides, assist with Zoom and in‐person formats.
- Create and process trip/expense reports and vendor check reimbursements.
- Log and track travel claims; arrange travel reservations.
- Schedule interviews for potential new hires and handle onboarding requirements.
- Coordinate export paperwork requirements as necessary.
- Coordinate office moves and support Environmental, Health and Safety (EHS) initiatives and quarterly audits.
- Assist with document repositories, order office supplies, maintain stock.
- Coordinate with other administrators to foster unified environment.
- Support Communications to track support tickets, managing company store relationship.
- Support government property inventory barcoding, tracking, periodic audits.
- Perform other administrative and clerical duties as assigned.

- AA/AS degree (or other 2‑year post‑high school training) with a minimum of 6 years of relevant experience.
- 6+ years experience with Microsoft Office 365 applications.
- U.S. Person eligible to obtain any required Export Authorization.
- Excellent organizational, customer service, attention to detail, multitasking, communication, teamwork, collaboration, initiative, interpersonal skills.
- Exuberant, forward‑looking personality, ability to think outside the box.
- Light occasional domestic travel when needed.
US $53,100 - US $100,900 (Good faith estimate based on experience).
