Office Administrator/ Coordinator
LOCATION: This role will work onsite at our office located in Cambridge/Brighton, MA.
TRAVEL: Up to 5%, domestic.

The RoleWe are looking for a Facilities Coordinator to join our Facilities Team. As a Facilities Coordinator, you’ll be part of a cross‑functional team whose mission is to lead IonQ on its journey to build the world’s best quantum computers to solve the world’s most complex problems.
In this role, you will be responsible for day‑to‑day front desk administrative duties. The ideal candidate is a team player with a "no job is too big or too small" attitude.
Responsibilities- Receive visitors at the front desk by greeting, welcoming, directing, ensuring compliance to visitor policies, and announcing them appropriately
- Coordinate and facilitate tours for visitors and new hires, including access, badging, and desk assignments
- Ensure office environment is tidy and presentable at all times
- Receive and prioritize facilities work orders including maintenance, supply, and EHS request
- Provide end‑user helpdesk administrative support as required
- Receive, sort and distribute daily mail/deliveries
- Answer, screen, and forward incoming phone calls and Facilities team emails
- Order supplies and keep inventory of stock items
- Initiate purchase orders as required
- Assist in maintaining office security by following access and safety procedures
- Maintain, update, and review facility documents; point person for general administrative tasks such as mailing, shipping, maintaining office equipment, and errands; lifting heavy boxes, files or paper when needed, which may be up to 40 lbs; and handling time‑sensitive/confidential material
- Other tasks as required by business needs
- 3–5 years of proven experience as a receptionist or in a similar role
- Self‑motivated with the ability to complete assignments with minimal supervision; able to work well both independently and with others
- Excellent organizational skills, problem‑solving skills and ability to efficiently multitask
- Attention to detail in maintaining logs, reporting documentation, and data entry
- Excellent interpersonal skills, including the ability to communicate and collaborate effectively with all levels of personnel, executives, customers and external vendors in a positive manner
- Comfortable working in a fast‑paced environment, with the ability to prioritize shifting business needs throughout the day
- Flexible and able to adapt to changing procedures, systems, and priorities
- Proficiency in Google Office, Microsoft Office Suite
- Associate’s/College degree; BS/BA in Business Administration or a related field
- Experience in customer support
- Experience in a high‑tech, fast‑paced technical office environment
- Certified Notary Public in Massachusetts
The approximate pay range for this position is $32.91 – $39.74 per hour. Compensation will vary based on individual factors such as education, qualifications, and experience of the final candidate(s), specific office location, and calibration against relevant market data and internal team equity. Posted base salary figures are subject to change as new market data becomes available. The total compensation package includes base, bonus, equity, and a range of benefit options found on our career site.
