About

the Position

Shady Hill School is seeking a Gift Processor/Office Coordinator to join our Advancement team beginning in Summer 2026. The Gift Processor/Office Coordinator is responsible for all gift processing and acknowledgements, provides administrative support to the Director, and supports other Advancement team initiatives. As Shady Hill prepares for a capital campaign, this role will be integral to ensuring Shady Hill’s success. The ideal candidate will be detail oriented, accurate, organized, and comfortable working on a small team wearing many hats, including front line donor events.

This is an in-person, full-time, hourly, 12-month position.

Primary Responsibilities Gift Processing and Acknowledgements (60%)
  • Enter all gifts into Raiser’s Edge, including coding for multiple-fund pledges as needed
  • Manage gift acknowledgments process including generating appropriate acknowledgement letters based on the gift type
  • Oversee Head of School’s monthly batch of handwritten thank-you notes
  • Provide Business Office with gift information for reconciliations and audit purposes
  • Update donor profiles as needed, in Raiser’s Edge and with internal departments
  • Run gift and constituent reports for department mailings
  • Pull lists and queries from already established files in Raiser’s Edge
Advancement Office Coordination (40%)
  • Oversee the schedule and calendar for the Director of Development
  • Work with the Assistant to the Head of School to coordinate donor and Advancement meetings
  • Prepare and distribute materials for Board of Trustee, Advancement Committee and Capital Campaign Committee meetings
  • Assist with mail-merges and materials assembly for planned giving, stewardship and other department mailings
  • Coordinate with Advancement colleagues in preparation for events including creating registration forms, tracking RSVPs, producing nametags and materials, ordering gifts when needed, etc.
  • Support in-person Advancement events including occasional nights and weekends, representing the Advancement department to donors, families and other attendees
  • Order office supplies and make weekly trips to pick up miscellaneous items from local businesses like invitations, or event supplies
  • Take minutes during Capital Campaign Committee meetings
  • Other duties as assigned
Qualifications
  • Experience in fundraising office required
  • Experience processing gifts strongly preferred
  • Experience with a donor CRM required, preferably Raiser’s Edge
  • High level of attention to detail and accuracy
  • Strong organizational and time management skills
  • Ability to work independently and as a member of a team
  • Comfortable working in a diverse and multicultural setting effectively and professionally
  • Committed to maintaining a high level of confidentiality
  • Community minded and SHS mission driven
  • Bachelor's degree or equivalent preferred

The salary range for this position is $26 - $33 / hour, depending on experience.
