Executive Assistant
Cambridge, MA (Hybrid / On-site) Position Type:

Our firm has been retained by an innovative technology company in Cambridge, MA to find a highly organized, proactive, and tech-forward Executive Assistant. In this role, you will support the client's leadership team by managing complex calendars, coordinating international stakeholder relations, and streamlining operations. The ideal candidate thrives in a fast-paced hardware, robotics, or engineering-focused environment and embraces emerging productivity tools to optimize workflows.
Key Responsibilities- Calendar & Scheduling: Manage complex calendars across multiple time zones, stakeholders, and shifting priorities.
- Meeting & Event Coordination: Organize internal/external meetings, board meetings, investor reviews, and leadership offsites.
- Logistics Management: Handle detailed agendas, logistics, meeting materials, and tracking follow-up actions.
- Travel Coordination: Arrange comprehensive domestic and international travel, including flights, lodging, and itineraries.
- Financial Administration: Track and process expense reports, invoices, and reimbursement requests using modern platforms.
- Business Communication: Prepare presentations, reports, documents, and cross-functional communications.
- Cross-Functional Collaboration: Partner with Operations, People, Finance, and Engineering teams to ensure business alignment.
- Tech Automation: Utilize AI tools and automation platforms to streamline scheduling, communication, and task management.
- Confidentiality: Handle sensitive business and investor information with absolute discretion and professionalism.
- Experience: 3+ years supporting C-level executives, founders, or senior leadership teams.
- Industry Background: Experience working within a startup, tech, robotics, hardware, manufacturing, or engineering organization.
- Global Coordination: Proven experience managing cross-cultural or international stakeholder coordination.
- Tech Stack Proficiency: Mastery of Google Workspace, Microsoft Office, Slack, Zoom, and travel/expense management platforms.
- Future-Tech Savvy: High comfort level utilizing AI tools, automation platforms, and emerging productivity technologies.
- Communication: Exceptional written and verbal communication skills.
- Adaptability: Proven ability to prioritize competing demands and pivot quickly in a fast-paced environment.
- Mindset: Strong problem-solving skills, high attention to detail, and a hospitality-driven, customer-service approach.
