About the Job

Senior Administrative Assistant supporting the Head of Patient Support Services (PSS) across Non‑Alliance Immunology, Neurology, Rheumatology, and General Medicines Business Units. Responsible for all administrative needs, including managing calls, calendars, travel, expense reporting, document approval, meeting planning, clerical support, and general projects. Supports two department heads and oversees selected department activities.

Responsibilities
  • Provide daily proactive administrative support.
  • Manage calendars, coordinate meetings, reserve conference rooms, and arrange travel for PSS heads.
  • Handle communications as requested, including calls, meeting planning, and email messages.
  • Coordinate and execute scheduling of PSS team‑building events and onsite/offsite meetings.
  • Create agendas, arrange guest speakers, and take notes for weekly PSS team meetings.
  • Problem‑solve PSS team members’ HR, IT, and equipment issues.
  • Create and maintain PSS Neurology and PSS Leadership online profile books.
  • Maintain positive working relationships with external partners.
  • Assist with scheduling/coordination of quarterly QBRs.
  • Assist with onboarding/offboarding of new team members and schedule/or coordinate PSS interviews with talent acquisition partners.
  • Coordinate all offboarding activities, including return of equipment, marketing materials, and vehicles.
  • Coordinate PSS meeting needs, maintain hotel room roster, and ship meeting materials.
  • Exercise discretion when handling confidential material and information.
  • Respond to inquiries for information according to general guidelines.
  • Prepare grammatically correct correspondence, reports, tables, and analyses.
  • Generate and format basic presentations or slide decks.
  • Perform online expense reporting for two department heads.
  • Process and track invoices and establish purchase orders related to PSS activities.
  • Provide clerical support including filing, faxing, copying, scanning, mailing, and data entry.
  • Oversee creation, organization, and maintenance of PSS files, including team rosters, org charts, and Teams sites.
  • Ensure PSS team compliance with all required business unit and company training.
  • Obtain sequential approvals in accordance with company SOPs.
  • Assist non‑PSS team members with administrative duties as directed by the manager.
  • Distribute team email announcements and birthday/anniversary messages as needed.
  • Collaborate with other PSS admins to ensure enterprise efficiency and organize PSS administrative assistants’ meetings.
Qualifications

Basic Qualifications:

  • High school diploma and minimum 2 years of administrative experience.
  • Minimum 2 years using Microsoft Office (Outlook, Excel, PowerPoint, Word).
  • Advanced knowledge of or ability to quickly learn internal electronic systems (eProcurement, SharePoint, Concur, Coupa, etc.).
  • Ability to work and adapt to fast‑paced, changing schedules and environments.

Preferred Qualifications:

  • Associate’s degree and 5+ years supporting senior‑level business leaders in pharma or biotech.
  • Good sense of judgment, prioritization, and confidentiality.
  • Proactive communication of timetables, attention to detail, and minimal direction in task completion.
  • Multitasking, flexibility, organization, and strong initiative, tact, communication, and interpersonal skills.
