Work Schedule: 35 hours/week, 9:00 am-5:00 pm with an hour unpaid lunch, will occasionally provide coverage for before-hours (8-9 am) and after hours (5-8 pm) employer events. |
Location:
100% onsite. In person for 5 days, Monday through Friday.

o Outstanding communication skills (written & oral) and attention to detail required. Must possess excellent organizational skills and ability to multi-task with flexibility to pivot between projects and teams as needed.
o Dependable individual who is able to provide coverage for before-hours (8-9 am) and after hours (5-8 pm) employer events.
Job Summary This position is situated within the Employer Engagement Team, providing a breadth of support for events as well as support as part of the Operations / Reception Team. Events include career fairs, employer sessions, panels, and student interview days. As a member of the operations team, provides rotational reception coverage serving as the primary source of information and initial contact for students, alumni, faculty, employers, visitors, and staff regarding the advising and educational programs, career fairs and employer events of the office.
Provides “first line” coverage and overall support in a complex office serving diverse populations of students, alumni, employers, and other stakeholders.
Job Specific Responsibilities:
- Works with the Employer Engagement Team to process and maintain internships and job opportunities in appropriate databases.
- Provides event support from coordination, such as confirming details with employers, updating calendars, recruiting database, and web platform, through day-of event coverage.
- Provides reception support for 10-15 campus interview days, greeting and checking in employers and students at the interview facility located at the Harvard SOCH (59 Shepard St).
- Strong customer service experience necessary. Act as liaison and point of contact between interview facility and main office/supervisor(s). Communicate questions/issues to supervisor(s).
- Maintain interview facility space during interviews including neat waiting areas, re-stocking snack baskets and coffee supplies, and restocking office supplies. Receive and unpack any supply deliveries.
- Additional employer engagement duties include email inquiry communications, employer calls, website updates, report compilation, payment processing and other projects as assigned. Must be able to manage complex and confidential information and systems. Should be familiar and comfortable working with databases.
- Outstanding communication skills (written & oral) and attention to detail required. Must possess excellent organizational skills and ability to multi-task with flexibility to pivot between projects and teams as needed.
- Maintains up to date knowledge on full breadth of MCS programs, services, and resources. Delivers quality customer service by providing accurate information and personalized assistance in a high-volume environment in person, via e-mail, and over the phone. Follows, communicates and carries out office policies.
- Performs event and administrative support and other duties as assigned.
Basic Qualifications Three years of administrative experience required. Education beyond high school may count towards experience. Working knowledge of MS Office applications, specifically MS Word and Excel.
Desired Qualifications
BA/BS preferred. Must enjoy providing a high level of customer service in person and over the phone, willingness to "go the extra mile." Flexible team player with positive attitude and excellent problem solving skills. Outstanding communications skills and diplomacy; ability to anticipate needs and prioritize/manage multiple complex confidential tasks simultaneously in a demanding environment; strong attention to detail required. Flexibility and professional manner essential;
ability to work with a variety of people; must work well both independently and as part of a team. Must be able to function at a high level in a public, shared, workspace. Excellent computer and web navigation skills required. Strong knowledge of MS Office applications, specifically MS Word and Excel.
