Job Description

The Occupational Health Informatics Specialist serves as the primary liaison between Harvard University IT (HUIT)/other IT partners and Harvard Occupational Health Services (OHS) to ensure occupational health applications and data systems effectively support clinical and operational needs. This role is responsible for data management and information flow assessment within OHS, including data entry standards, report generation, and maintenance of electronic health records.

The Specialist provides application support, leads change management related to system and workflow updates, and delivers training to OHS staff and relevant university departments and schools.

Responsibilities
  • Act as the primary liaison between IT (e.g., HUIT, vendors) and Harvard OHS to ensure occupational health and safety applications are configured to support clinical and operational workflows.
  • Serve as the key point of contact for system issues: troubleshoot, conduct root cause analysis, and partner with IT and vendors to resolve problems and implement fixes.
  • Lead and coordinate change management efforts for new or updated occupational health systems, including impact assessment, communication, rollout planning, and post-implementation review.
  • Assess information flow across OHS (clinical, administrative, and reporting processes) and recommend improvements to enhance data integrity, efficiency, and user experience.
  • Oversee data management activities, including accurate and timely data entry, data validation, and quality assurance within occupational health systems and databases.
  • Maintain and support electronic health records and related occupational health applications to ensure accurate, complete, and compliant health records.
  • Develop, generate, and maintain standard and ad hoc reports (e.g., compliance, surveillance, exposure tracking, immunization status, visit volumes) to support clinical care, operations, and leadership decision-making.
  • Act as an analyst for OHS data, identifying trends, gaps, and opportunities for improvements in health services, workflows, and outcomes.
  • Configure and maintain user access and roles within occupational health systems; ensure appropriate security and confidentiality aligned with applicable privacy and institutional policies.
  • Provide front-line technical and workflow support to clinicians and staff for system functionality, data entry standards, and reporting tools.
  • Design, deliver, and continuously improve training for OHS staff on system use, documentation standards, and new functionality (e.g., in-person sessions, online modules, job aids, and guides).
  • Collaborate with clinical and administrative leaders to document and update standard operating procedures related to informatics, data management, and system usage.
  • Monitor adherence to established documentation and data entry practices; communicate inconsistencies to leadership and partner on corrective actions, including additional training.
  • Support compliance with occupational health regulatory and institutional requirements by ensuring systems and data capture are aligned with applicable policies, guidelines, and reporting needs.

Qualifications Basic Qualifications
  • Bachelor's degree in a relevant field (e.g., health informatics, public health, nursing, health administration, information systems) or equivalent experience.
  • Minimum of 5 years of experience in healthcare, occupational health, health informatics, or a closely related setting; relevant education may be considered in lieu of some or all experience.
  • Demonstrated experience with data management, data entry standards, and maintaining electronic health records or similar clinical information systems.
  • Experience generating operational and clinical reports using healthcare or business intelligence tools.
