The Outreach & Engagement Coordinator will provide administrative, logistical, and creative support for the Center's wide range of public, internal, and student-facing engagement opportunities and communications efforts. The Coordinator will work as a member of the Communications team, reporting to the Director of Communication, and will work collaboratively with faculty, fellows, and staff across the Center.
The Coordinator's primary responsibilities will be to provide coordination and logistical support for the Center's in-person and virtual engagement opportunities, and to assist with internal and external communications and outreach. There also may be opportunities for the person in this role to grow in their areas of interest within the Center's communications department.
As an Outreach and Engagement Coordinator you will:
- Work with the Director of Communications and colleagues throughout the Center, select and plan creative, engaging, timely and substantive in-person and virtual engagement opportunities for the public, students, fellows and BKC community members, and internal audiences.
- Collaborate on logistics for all engagement and outreach opportunities, in coordination with applicable colleagues.
- Works closely with the communications colleague responsible for event promotion.
- Coordinate key aspects of public and BKC community outreach opportunities, including supporting conceptual development, managing timelines, and coordinating invitations, day-of support including ensuring technical and a/v setup and meeting needs (in-person and virtual),, and follow-up.
- Schedule meetings and touchpoints with relevant staff, speakers, and participants, coordinating follow-up communications, and tracking commitments and deadlines. Communicate with guests and speakers and may act as a liaison between them and BKC experts.
- Support large-scale communications team projects like the annual end of year report by coordinating development of content, keeping track of deadlines, and coordinating with involved parties.
- Track major national and international convenings and conferences on artificial intelligence and digital technology, in order to coordinate BKC expert engagement. Maintain a convenings calendar, track application dates, and suggest relevant BKC experts. Act as a touchpoint for BKC experts and track their proposals.
- Contribute to community building efforts and internal communications by supporting the planning of and coordinating internal BKC strategy sessions and workshops.
- Contribute to Center goals by accomplishing additional duties as required, consistent with the functions of the work unit and level of responsibilities of the role.
Basic Qualifications
3 or more years of experience in office administration or related field (business environment and/or customer service). Education beyond high school may count toward experience.
Additional Qualifications and Skills
- Familiarity with event logistics.
- Familiarity with coordinating multiple calendars at once, including the calendars of leadership.
- Demonstrated interest in technology, societal impacts, public policy, and the intersections among these areas, a plus.
- Exceptional organizational skills and meticulous attention to detail.
- Ability to be responsive and collegial in professional communications
- Experience running Zoom webinars and public meetings, and comfort with learning new technologies.
- Capacity to work effectively both independently and as a member of a team.
- Comfort with working with broad perspectives, curiosity about others' stories', and a positive outlook.
Appointment End Date:
This is a term appointment currently expected to extend through June 30, 2027, with potential for renewal subject to funding and departmental need.
Standard Hours/
Schedule:
35 hours per week;
Full-time, M-F.

Work Format Details:
This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University's Policy on Employment Outside of Massachusetts.
