Job Overview

Senior Development Coordinator – American Repertory Theater at Harvard University. The Senior Development Coordinator supports the A.R.T.’s development department, working with front-line fundraisers, board management, campaign research, membership events, governance documentation, annual fund and capital campaign, and special projects. The role reports to the Chief Development Officer and assists with day-to-day operations, providing broad fundraising and development experience in a non-profit setting with a volunteer board and donors.

Executive

Support
  • Assist the CDO with administrative duties, including management of the CDO’s calendar and inbox, drafting emails, and supporting email communications.
  • Coordinate donor engagement between front-line fundraisers, the Artistic Director, and University Development Office.
  • Work with executive leadership to set agendas for the Board of Trustees, Board of Advisors, and committee meetings (~40 per year).
  • Prepare meeting content, technology, scheduling, staffing, and follow-up.
  • Assist the CDO in establishing and managing ad hoc board committees, task forces, and working groups.
Institutional Giving
  • Assist the Associate Director with standard renewal grant applications, funder reports, and compiling supplemental materials for new or major grants.
  • Conduct regular prospect research for institutional giving, draft gift proposals, and share findings with the development team.
  • Update and maintain grant tracking spreadsheets, grants calendar, and funder information in Tessitura.
Events
  • Assist the development team with RSVP tracking, invite drafting and deployment, and on-site and virtual event management.
  • Prepare donor bio information for leadership and fundraisers.
Other Responsibilities
  • Assist development operations with receipt reconciliation, budgeting, gift entry, and contact reports.
  • Maintain donor biographies and prepare leadership for donor meetings.
  • Support the development team on special projects as needed.
  • Coordinate communication across A.R.T. and University departments related to philanthropic activity.
Qualifications

Basic Qualifications

  • Five or more years of related experience. Education beyond high school may count toward experience.

Additional Qualifications and Skills

  • Proficiency with Microsoft Office Suite and Google Suite.
  • Ability to prioritize and manage multiple tasks.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management capabilities.
  • Customer service and problem-solving orientation and attitude.
  • Knowledge of theater is preferred.
  • Ability to work evenings and weekends as required.

  • Standard Hours/

    Schedule:

    35 hours per week.

Work Format Details

This position allows some duties to be performed at a non-Harvard location, as determined by department needs. The work schedule and location will be set by the department. Employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location.
