Job Description

The American Repertory Theater at Harvard University seeks a highly detail-oriented coordinator to join the A.R.T. development team. The Senior Development Coordinator supports the A.R.T.’s development department including front-line fundraisers and other primary department functions such as board management, campaign prospect research and support, membership events, maintaining governance documentation and other development materials, activities in support of the annual fund and capital campaign submission, and special projects as needed.

This position is responsible for assisting the Chief Development Officer (CDO) with day-to-day operations, as well as providing support for the development team. Reporting to the CDO, the Senior Development Coordinator should have a broad range of fundraising and development experience in non-profits working with a volunteer board and donors. The A.R.T. is in the midst of a $250M+ capital campaign for a new building that will open to the public in the spring of 2027.

Job-Specific

Responsibilities Executive Support
  • Assist the CDO with various administrative duties, including management of the CDO’s calendar and inbox, general correspondence, including writing draft emails and supporting email communications.
  • Ensure that continuity of donor engagement is coordinated between other front-line fundraisers at A.R.T., the Artistic Director, and University Development Office (UDO).
  • Working with executive leadership, help set agendas for both the Board of Trustees and Board of Advisors’ meetings, as well as all committee meetings; approximately 40 per year.
  • Prepare content and materials, technology, scheduling, staffing, and notating for said meetings, and conduct necessary follow-up.
  • Assist CDO in the establishment and management of ad hoc board committees, task forces, and working groups as special initiatives, needs, and projects arise.
Institutional Giving
  • Assist the Associate Director, Institutional Giving with standard renewal grant applications, funder reports, and support the compilation of supplemental materials for new or major grant applications.
  • Conduct regular prospect research for institutional giving and lead campaign gifts and share out findings to the development team; draft gift proposals as needed.
  • Update and maintain the tracking spreadsheet, grants calendar, and necessary funder information including contact reports in Tessitura.
Events
  • Assist the development team with RSVP tracking, invite drafting and deployment, and on-site and virtual event management.
  • Prepare donor bio information for leadership and fundraisers.
Other
  • Assisting the development operations with receipt reconciliation, budgeting, gift entry, and contact reports.
  • Maintain donor biographies and prep leadership for donor meetings.
  • Support the development team on special projects, as needed.
  • Coordinates communication across A.R.T. and University departments as it relates to philanthropic activity, including the artistic, engagement, marketing, communication, and production teams.
Qualifications Basic Qualifications
  • Five or more years of related experience. Education beyond high school may count toward experience.
Additional Qualifications and Skills
  • Proficiency with Microsoft Office Suite and Google Suite
  • Ability to prioritize and manage multiple tasks
  • Excellent written and verbal communication skills
  • Strong organizational and time management capabilities
  • Customer service and problem-solving orientation and attitude
  • Knowledge of theater is preferred
  • Ability to work evenings and weekends as required.
