Summary
The City of Cambridge Police Department is accepting applications for one (1) full-time Administrative Assistant – Police position. This opening is the result of a retirement and marks the first time the position has been available in approximately 16 years, reflecting the long-term stability of the role and the department.
Cambridge (population approximately 10,500) is a proactive, community-oriented city with strong support from residents, city administration, the mayor, and city council. The Administrative Assistant – Police plays a critical role in supporting police operations through records management, regulatory compliance, public service, and administrative support. This position also serves as the department’s Terminal Agency Coordinator (TAC) and provides work oversight for the Police Permit Technician.
The position works independently with limited supervision and exercises discretion when handling confidential and legally protected information. Purpose
The Administrative Assistant – Police provides professional-level administrative, records, and compliance support for the Police Department. This position plays a critical role in maintaining accurate law enforcement records, ensuring compliance with state and federal reporting requirements, supporting departmental operations, and providing high-quality customer service to the public.
The Administrative Assistant serves as the primary Terminal Agency Coordinator (TAC) for the department and provides work oversight and functional guidance to the Police Permit Technician. The position works independently with limited supervision and exercises discretion when handling confidential and legally protected information.
Communications
Internally - Frequent contact with all City employees.
Externally - Frequent contact, in person and by telephone, with the general public, criminal justice system personnel, and other emergency services personnel.
Essential Functions
Front Desk & Public Service
- Serves as the primary point of contact for the Police Department, answering phones, greeting visitors, and directing inquiries to appropriate personnel.
- Provides information to the public regarding police services, reports, permits, and records in a professional and courteous manner.
- Assists citizens with questions, concerns, and complaints, referring matters as appropriate.
Records Management & Reporting
- Enters, maintains, and updates incident and offense reports within the department’s Records Management System (RMS) and associated state systems.
- Processes Initial Complaint Reports (ICRs) and ensures accurate submission to the Minnesota Bureau of Criminal Apprehension (BCA) and Criminal Justice Reporting System (CJRS).
- Maintains accurate records for incident reports, juvenile files, crash reports, citations, and related departmental documentation.
- Completes monthly and periodic state and federal reporting requirements, including offense validation and stolen property notifications.
