Position: Administrative Assistant III
Department: County Sheriff’s Office
Location: Cambridge, MN
Job Type: Part-time; 20-28 hours per week (40-56 hours per pay period/every two weeks)
Work Schedule: Regular work hours are Monday through Friday, 8:00 a.m. to 4:30 p.m.
Work Setting: On-site; requires regular, in-person attendance
FLSA Status: Non-Exempt
Union Affiliation: Teamsters Local 320 Courthouse
Compensation
- Expected 2026 Hiring Range: $25.50 - $27.19 per hour ($53,040.00 - $56,555.20 annually), depending on qualifications, relevant experience, and internal equity.
- Full Range: $25.50 – $32.93 per hour ($53,040.00 – $68,494.40 annually), with the potential for additional longevity-based pay.

General Definition of Work Performs administrative work preparing and processing files, assisting the public in the Sheriff’s Office, processing gun permits, conducting necessary background checks, resolving suspense records, maintaining records and files, developing and implementing record procedures, monitoring the office workflow and associated deadlines, and related work as apparent or assigned.
Work is performed under the supervision of the Sheriff’s Office Records Supervisor.
Essential Functions
- Receive, review, and process applications, renewals, and related documentation for Minnesota Permit to Purchase and Permit to Carry with a high level of accuracy and attention to detail. This includes conducting a thorough background investigation.
- Verify application completeness and ensure compliance with state and federal requirements.
- Conduct data entry, update and maintain accurate permit records within county, state, and law enforcement databases.
- Conducts required annual background checks on permit to carry holders in the County.
- Process permit fees and maintain accurate financial records in accordance with county policies.
- Respond to public inquiries regarding firearm permit procedures, requirements, eligibility, and application status.
- Prepare permit approvals, denials, renewals, void notices, and related correspondence.
- Maintain confidential criminal justice and applicant records in compliance with federal, state, and county regulations.
- Communicate with law enforcement personnel, courts, state agencies, and other government entities regarding permit-related matters.
- Perform records searches and retrieve information as requested by authorized personnel.
- Assist with audits, reporting requirements, and statistical recordkeeping related to permit activity.
- Resolves suspense records for the Sheriff's Office by utilizing criminal history records, court records, and in-house records.
- Scan, file, and organize electronic and physical records.
- Stay informed of changes to Minnesota firearm laws, regulations, and permit requirements and Sheriff’s Office procedures.
- Provide general clerical support including assisting the public that come into the lobby, answering phones, processing mail, filing documents, and preparing reports.
- Maintains Master Name Record Files by utilizing the utilities provided by the records management system.
- Process background requests from outside agencies.
- Perform other duties as assigned.
