Position SummaryThe Wealth Management Client Administrator partners with the Relationship Manager (RM) and Investment Portfolio Manager (PM) to provide exceptional experiences to high net‑worth clients with complex financial needs. This role supports the team through collaboration, effective communication and attention to detail, serving as a reliable point of contact to coordinate between clients and the Wealth Management team.
Essential Duties and Responsibilities- Coordinate account administration in partnership with the RM, responding to client inquiries and producing action plans and reports.
- Develop and maintain knowledge of governing documents and account agreements.
- Receive service requests from clients and team members, communicate with service partners, and obtain necessary information to facilitate service changes or transactions.
- Oversee development and execution of action plans for client servicing events, ensuring follow‑up and regular communication with clients and RMs about account set‑up, status, document requests, or other information.
- Assist RMs and PMs with account acceptance and closing processes, compliance management, and annual account review, ensuring appropriate documentation is collected and systems information is up to date.
- Coordinate with support areas on all account set‑ups, fees, distributions and ongoing account activity.
- Monitor account transactions and overdrafts in accordance with fiduciary policy guidelines, responding to administrative review exception reports promptly.
- Identify and promote internal process improvements and exhibit appropriate account management practices.
- Maintain comprehensive file management and ensure all relevant system records are preserved per policy.
- Develop and maintain working knowledge of critical business applications, including client online tools.
- Coordinate presentation materials with RMs and PMs.
- Support the Fiduciary team on Trust and Estate administration matters and communication with trust beneficiaries.
- Associate’s degree.
- 3 to 5 years of related experience in financial services, or an equivalent combination of education and experience.
- Bachelor’s degree.
- Experience in investments, law or accounting.
- Notary Public Certification.
- Excellent attention to detail and ability to manage multiple priorities.
- Ability to prioritize and complete tasks efficiently and independently.
- Ability to develop efficient processes around tracking and follow‑up.
- Strong written and verbal communication skills, including interpreting legal documents and writing correspondence.
- Ability to effectively present information in one‑on‑one and small group settings to customers, clients, and colleagues.
- Basic understanding of accounting, finance, and investment concepts.
- Ability to deal with problems involving several concrete variables in standardized situations.
This role has no supervisory responsibilities.
