Role Overview

The Executive Secretary provides high-level administrative, operational, and organizational support to the superintendent in a PreK–12 school system. This role ensures the smooth functioning of daily operations, supports strategic initiatives, and serves as a key liaison between the Superintendent’s Office, district departments, school administrators, community partners, and external stakeholders. The Executive Secretary exercises discretion, maintains strict confidentiality, and demonstrates exceptional judgment in all interactions.

Minimum Requirements
  • Bachelor’s degree from an accredited college or university (preferred but not required)
  • Minimum 3–5 years of administrative experience, preferably in a school district or public sector environment.
  • Demonstrated proficiency with Microsoft Office Suite, Google Workspace, and district information systems.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proven ability to maintain confidentiality and handle sensitive information with discretion.
  • Exceptional attention to detail, organizational, and follow up skills.
  • A valid driver’s license as well as current insurance and vehicle with valid registration.
  • Criminal history background check, physical and proof of eligibility to work in the United States.
Preferred
  • Experience supporting executive-level leadership.
  • Project Management.
  • Knowledge of PreK–12 school district operations, terminology, and regulatory requirements.
  • Familiarity with board governance processes and public meeting protocols.
Role & Responsibilities

Administrative & Operational Support

  • Manage complex calendars, schedule meetings, coordinate appointments, and arrange travel for district leadership.
  • Prepare, proofread, and edit correspondence, reports, presentations, and board‑ready documents.
  • Organize and maintain electronic and physical filing systems, ensuring accuracy, accessibility, and compliance with district policies.
  • Coordinate logistics for district wide meetings, professional development sessions, and special events.
  • Track deadlines, follow up on outstanding items, and support project management for district initiatives.

Communication & Stakeholder Engagement

  • Serve as the primary point of contact for internal and external inquiries, ensuring timely and professional communication.
  • Draft and distribute communications on behalf of district leadership, including memos, announcements, and updates.
  • Facilitate communication between the Superintendent’s Office, school leaders, staff, families, and community partners.
  • Maintain a welcoming, service-oriented environment for visitors and callers.

Board of Education & Compliance Support

  • Assist with preparation of Board of Education agendas, packets, resolutions, and supporting documentation.
  • Maintain compliance with Open Public Records Act (OPRA) and other state/federal requirements as assigned.

    Support the coordination of board meetings, hearings, and district wide public sessions.

Data, Reporting & Record Management

  • Compile, analyze, and summarize data for reports, presentations, and decision-making.
  • Maintain confidential personnel, student, and district records in accordance with policy and legal requirements.
  • Support budget tracking, purchase orders, and invoice processing for the Superintendent’s Office.
  • Assist with coordination of district initiatives, including strategic planning, accreditation, audits, and compliance reviews.
  • Support cross‑departmental collaboration to ensure alignment of PreK–12 operations.
  • Provide backup support to other administrative offices as needed.
