Job Title: Newspaper Operations Coordinator

Position Summary

The Newspaper Operations Planner plays an essential role in coordinating the day-to-day workflow of newspaper production, circulation, and distribution. This position supports both print and digital operations, working closely with editorial, production, and distribution teams to ensure timely, accurate, and efficient publication processes.

The ideal candidate is organized, proactive, detail-oriented, and comfortable managing multiple tasks in a fast-paced media environment.

Key Responsibilities

  • Coordinate daily workflow between editorial, production, and distribution teams to support seamless newspaper operations.
  • Assist with circulation management, including distribution route coordination, carrier communication, and subscriber data updates.
  • Support production scheduling and help maintain workflow timelines to meet strict publication deadlines.
  • Monitor and help manage inventory of printing supplies, inserts, and distribution materials.
  • Contribute to operational process improvements and efficiency initiatives across production and circulation.
  • Provide administrative support including documentation, correspondence, data entry, and record-keeping.
  • Prepare operational reports including distribution metrics, workflow statistics, and circulation data.
  • Communicate effectively with internal departments to resolve production or delivery issues promptly.
  • Maintain organized files, logs, and documentation related to operations and distribution activities.
  • Perform other duties as assigned; responsibilities may evolve based on business needs.
  • Will oversee the digital print process of the newspapers. Sorting and tubbing papers as they come off of the machine

Required Knowledge, Skills & Abilities

  • Experience in operations, logistics, planning, or administrative support—preferably in media, publishing, or production environments.
  • Excellent organizational and coordination abilities with strong attention to detail.
  • Ability to prioritize multiple tasks and manage time effectively under tight deadlines.
  • Strong communication and teamwork skills; comfortable collaborating with cross-functional teams.
  • Proficiency with office software, including Microsoft Office Suite; familiarity with publishing or circulation systems is a plus.
  • Ability to remain calm and efficient in a deadline-driven and fast-paced setting.
  • Problem-solving mindset with a proactive approach to operational challenges.

Education & Experience

  • High school diploma or equivalent required.
  • Additional education in business, communications, journalism, logistics, or a related field is preferred.
  • Prior experience in operations, administrative roles, media production, or circulation support strongly preferred.

Working Conditions

  • Office-based, remote or hybrid work environment in accordance with company policy. May require extended hours during financial closing or audit periods.
