The OpportunityThe Administrative Assistant supports the daily operations of the school reception area, presenting a high‑achievement culture to students, visitors, and parents. Responsibilities include answering phones, sorting mail, updating databases, and performing general administrative duties as needed.
Duties and Responsibilities- Answer general inquiries, direct and screen phone calls
- Greeting parents and visitors and directing them to the appropriate location
- Create and maintain databases such as Excel and the School Computer Network for student records and school equipment inventory
- Place orders for departments and track the order process for the school
- Manage office supplies for the front office
- Oversee mailing and shipping delivery systems
- Maintain conference room calendar and schedule meetings as needed
- Aid in student enrollment processes by completing paperwork and following up with phone calls
- Open and close the school front reception facility
- Communicate to students expectations for academic achievement and appropriate behavior inside and outside the classroom
- Maintain a positive and welcoming environment for parents, visitors, coworkers, and students
- Perform general administrative duties as assigned
- Ability to relate to a diverse population of students and parents
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and ability to learn new programs/software quickly
- Proven experience in multi‑tasking, organizing, and prioritizing work
- Ability to handle requests and inquiries and respond in a timely manner
- High attention to detail
- Performs duties with a high degree of professionalism and positive energy
- Spanish and English fluency required
- Three to five years of administrative assistant experience preferred
- Eligible for a $500 signing bonus
- New administrative assistants start at $18.75, with a range up to $23.92 based on experience and education; hourly rates range from $18.75 to $29.33 with growth opportunities
- Part‑time role: 29 hours per week, Monday‑Friday
