The Axel Group is seeking a Contracts Administrator to join our client’s team in Union County, New Jersey. This firm, an established general contractor, specializes in residential and commercial construction throughout New Jersey, with a strong focus on affordable and market-rate housing, multifamily and senior living communities, and commercial/mixed-use developments. Backed by decades of experience in real estate development and construction, the company brings extensive expertise in managing large-scale projects and delivering high-quality developments that contribute to the communities they serve.

The ideal candidate will bring hands-on experience preparing and administering construction contracts using established templates, with the ability to independently manage the contract process from preparation through execution. They will have strong working knowledge of AIA and Catina software, along with experience managing Certificates of Insurance (COIs), contract documentation, and execution tracking. A solid understanding of prevailing wage requirements is essential, as is the ability to stay organized, manage multiple priorities, and work closely with Project Managers and other project stakeholders.

Responsibilities:
  • Prepare, administer, and maintain construction contracts throughout the contract lifecycle.
  • Utilize AIA and Catina software to prepare, generate, issue, and maintain contracts and related documentation.
  • Partner with Project Managers to gather scopes of work, exhibits, pricing, schedules, and other required information for incorporation into contracts.
  • Manage the contract execution process from initial draft through fully executed agreement, including coordinating signatures and ensuring all required documentation is complete.
  • Collect, review, and track Certificates of Insurance (COIs) and other required contractor and subcontractor documentation.
  • Maintain accurate contract files, spreadsheets, and tracking logs, including key dates for drafting, issuance, execution, and other contract milestones.
  • Administer prevailing wage contracts and requirements, ensuring compliance and timely completion of all required documentation.
  • Monitor contract status and proactively follow up with Project Managers, contractors, subcontractors, and internal teams to resolve outstanding items.
  • Assist with routine contract modifications, amendments, change orders, and other contract administration activities as needed.
  • Ensure contracts and related documentation are accurate, complete, properly executed, and maintained in accordance with company requirements.
  • Independently manage assigned contracts and administrative processes with minimal oversight.
Qualifications:
  • 3-5+ years of experience in construction contract administration or a related construction operations role.
  • Hands-on experience with AIA and Catina software is required.
  • Experience preparing construction contracts from established templates and managing contracts through execution.
  • Experience with prevailing wage contracts and requirements is required, including the ability to independently manage associated documentation and compliance requirements.
  • Experience managing COIs, contractor/subcontractor documentation, and contract tracking.
  • Strong attention to detail and organizational skills, with the ability to manage multiple contracts, priorities, and deadlines.
  • Proficiency with Microsoft Excel and standard office software.
  • Strong communication and follow-up skills, with the ability to work independently and effectively with Project Managers, contractors, subcontractors, and internal stakeholders.
Compensation and Benefits:
  • Base Salary: $80,000–$110,000, depending on experience
