Staffing Administrative Coordinator

Position Overview:

The Staffing Administrative Coordinator provides primary on-call staffing coverage for JDK's event teams, along with coordination and administrative support to the Hiring and Staffing Manager. This position responds to call-offs, late arrivals, and last-minute vacancies, while monitoring arrivals and communicating updates before and during events. When immediate staffing needs are secure, this position completes scheduling and administrative duties. This role requires consistent weekend availability, along with some weekdays, early mornings, evenings, and holidays during peak catering periods.

The ideal candidate is dependable, organized, responsive and able to work independently in a fast-paced environment.

Key Responsibilities
  • On-Call Duties:
    Act as primary staffing contact for catering event staff; monitor staffing communications; document changes; contact employees to fill last-minute vacancies; assist with clock-in and scheduling questions; communicate updates to Event Managers; and provide end-of-shift updates.
  • Staffing Coordination:
    Coordinate, confirm, and maintain accurate event schedules; track availability and replacements; and distribute event details (times, locations, dress code) to staff.
  • Administrative Duties:
    Maintain employee records, scheduling databases, and staffing reports; assist with onboarding paperwork, rosters, and payroll related info; and provide general administrative support.

Qualifications:

Ability to work independently, with strong problem-solving, communication, multitasking, and customer service skills. Ability to remain calm under pressure in a fast-paced environment. Proficiency with computers, phones, email, and scheduling systems. Experience in administrative support, scheduling, catering, or hospitality preferred. Reliable transportation for local travel, with the physical ability to sit, stand, walk, and occasionally lift up to 35 pounds. Consistent availability and flexibility to work in the JDK office primarily on weekends, with some weekday availability including early mornings, evenings, holidays and assigned on-call shifts based on JDK's schedule.

What Success Looks Like:
Accurate, responsive management of staffing priorities and immediate handling of schedule changes. Calm, independent decision-making during time-sensitive on-call shifts. Clear, professional, and timely communication and dependable follow-through.
