Job OverviewRainbow Acres is hiring a Front Office Coordinator who serves as the voice and heart of Rainbow Acres, creating a warm, mission-centered first impression for callers, visitors, volunteers, and Ranchers. This role ensures smooth front office operations by receiving and distributing communications, coordinating supplies and equipment, and providing administrative support across departments. Key Responsibilities- Manage multi-line phone system, route calls, provide accurate information, maintain directories, and coordinate messages with a professional, friendly tone.
- Welcome and assist visitors, vendors, and volunteers; manage check‑ins; maintain a clean lobby and up-to-date materials; support resident‑approved visitor lists.
- Handle all incoming/outgoing mail, pick‑up post‑office mail weekly, and coordinate shipping via Fed Ex/UPS.
- Maintain office equipment, order supplies, and support vehicle scheduling, tracking, and reporting.
- Manage petty cash, process invoices and receipts, support clerical needs, track volunteer hours, and assist with printing and mailings.
- Organize resident and Rancher trips, manage registrations, payments, itineraries, records, and communications, and train staff on front desk procedures when needed.
This is a safety‑sensitive position requiring strong attention to detail and accountability.
Qualifications- High school graduate or GED with a minimum of three years of related experience, resulting in strong working knowledge of office procedures and systems such as word processing, managing files and records, and office equipment.
- Excellent communication skills with the ability to work with a diverse population.
- Solid organizational skills with the ability to effectively multitask.
- Demonstrated ethical behavior, professionalism, and respect for residents.
- Alignment with a Christian, faith‑based mission preferred.
- Final candidates will be required to submit to our security clearance process.
