Overview
The Administrative Assistant serves as the first point of contact for the Registrar’s Office and ensures welcoming, friendly, and efficient responses to visitors and to calls to the main office line. Additionally, this position provides administrative assistance in fulfilling daily office tasks.
Responsibilities- Ensures the welcoming, friendly, and efficient operation of the front desk greeting area of the Registrar’s Office, including serving as the first point of contact in person or by phone for those who contact the Registrar’s Office.
- Assists visitors to the office, including gaining knowledge of other campus services to best refer students to other campus locations.
- Ensures the main Registrar’s Office phone line is answered during regular office hours and responds to requests in a timely manner.
- Provides administrative assistance in fulfilling daily office tasks, including: processing student schedule changes; writing and distributing various office letters (e.g., visiting student letters, incomplete graduation letters, enrollment verification letters, and other letters requested by students).
- Processes all name/address changes, whether submitted in person or through online submission.
- Assists students in processing apostille requests, guiding students through each step of the process.
- Keeps track of inventory of office supplies and orders new supplies in a timely manner.
- Processes submissions to the office ticket request system, and assists the records manager and technical coordinator in assigning tickets to the appropriate staff person.
- Verifies data entry for students’ academic records.
- Assists with each of the commencement ceremonies held on the Campbellsville campus throughout the year.
- Assists other staff members in the Registrar’s Office with daily tasks.
- Completes various other projects and duties as assigned.
- Working hours as necessary to perform job requirements satisfactorily on a regular basis; manages absences to ensure service to university faculty, staff and students.
- Complies with Campbellsville University policies and practices, seeking clarification when necessary, and honors the mission of Campbellsville University and the standards of conduct in the Administrative Policies and Procedures Manual.
- Bachelor’s degree is required.
- Proficiency in all Microsoft Office products.
- A friendly, helpful, and consistently positive attitude to promote a welcoming atmosphere.
- Extremely high level of accuracy, attention to detail, and ability to organize at multiple levels.
- Excellent communication skills and the ability to work well with diverse populations to provide outstanding customer service in person, by phone, and via email.
- Ability to communicate clearly and concisely in both written and oral formats.
