Summary
The Benefit Supervisor will coordinate Pension Department activities and special projects. Will supervise staff in accordance with company policies and procedures. The Supervisor will proactively identify service, quality, and operational improvement opportunities and present recommendations to the Pension Director or manager to enhance member experience, reduce errors, and improve efficiency and turnaround times.
Essential Duties and Responsibilities (Supervisory Role)- Personnel Policies and Procedures: The Supervisor ensures employees follow organization policies, supervises staff per company policies, handles staff scheduling (vacation, overtime, back‑up), approves payroll, etc.
- Staffing: The Supervisor regularly reviews departmental needs, assists in conducting interviews and testing with HR, provides documented feedback, and coordinates with department manager for staffing levels.
- Employee Training and Development: The Supervisor ensures new employees are oriented, develops training plans, provides coaching, testing, career counseling, and schedules regular staff meetings.
- Employee Performance Management: The Supervisor reviews job descriptions, sets performance standards, provides ongoing feedback, conducts appraisals, develops improvement plans, and rewards accomplishments.
- Additional Responsibilities: The Supervisor communicates with other supervisors/managers, is available for travel and client functions, evaluates department processes, recommends changes, and documents all department practices and procedures.
- Become familiar with general plan rules for pension as outlined in the Summary Plan Description (SPD) for each fund.
- Ensure pension staff completes month‑end tasks (reports, ledger balancing, closing, manual check runs) and annual tasks (statements, actuary requests, external audits).
- Verify legal documents (divorce decrees, marriage certificates, birth certificates) for accuracy.
- Review and approve pension files for payment as needed.
- Work closely with support on all programming/operations matters, including automation, enhancements, and system errors.
- Oversee that staff works with Eligibility and Contribution departments for pension matters.
- Interact with Plan Management and/or clients regarding individual situations and overall fund activities.
- Maintain regular and predictable attendance.
Associate or Bachelor degree in Business, Finance, Accounting, or related field, or equivalent combination of education and experience, preferred. Minimum three (3) years of experience in pension administration, benefits administration, or related field, including at least one (1) year in a lead or supervisory role, required.
Language SkillsAbility to read and interpret pension provisions as outlined in the SPDs, user manuals for online services, department rules and procedures manual, and plan documents. Ability to speak and/or write clearly and effectively explain to members, dependents, and union officials the provisions of a plan document.
Mathematical SkillsAbility to calculate hours and rates to determine self‑payments and hour banks.
Reasoning AbilityMust be capable of thoroughly analyzing vendor invoices and all month‑end reports, finding discrepancies in member eligibility, and making necessary corrections based on department procedures, plan rules, and eligibility analysis.
Work EnvironmentFast‑paced department. Phone calls are continuous and often unpleasant. Must maintain composure with difficult callers. Most work is done independently.
Work ScheduleFull time. Monday – Friday, 7:30 am – 4:30 pm. Required in office (no at‑home days).
