Job Summary

The Administrative Assistant/Office Assistant provides essential clerical and operational support to ensure efficient day-to-day office operations. This role supports internal teams, coordinates administrative processes, maintains records, and serves as a key point of contact for internal and external stakeholders.

Primary Responsibilities:
  • Complete assignments and projects in accordance with supervisor direction and established deadlines
  • Provide daily administrative support to the Service Team and other departments as needed
  • Perform general office duties to maintain efficient business operations
  • Maintain organized documentation and filing systems for accurate recordkeeping and easy retrieval
  • Retrieve, save, and properly name various file types from multiple electronic sources
  • Prepare and maintain forms, correspondence, memos, reports, and other business documents
  • Sort, file, and maintain records in both electronic and physical systems
  • Monitor and maintain inventory of office supplies for daily use and industry-related events
  • Coordinate office needs and serve as a liaison with Accounts Payable for purchasing and expense-related processes
  • Coordinate business needs with vendors for internal and external meetings and events
  • Operate and maintain office equipment, including computers, copiers, fax machines, and database systems
  • Manage incoming and outgoing mail, including distributing correspondence, sending billing, and arranging package shipments and pickups
  • Answer, screen, and direct phone calls; take messages and perform outbound calls as needed
  • Respond to internal and external requests and inquiries in a timely and professional manner
  • Maintain office calendars, schedule meetings, and coordinate conference rooms or virtual meetings
  • Assist with onboarding tasks for new employees (workspace setup, materials, coordination)
  • Support data entry, reporting, and updates in internal systems or databases
  • Track and reconcile office-related expenses and submit documentation as needed
  • Assist in organizing company events, meetings, and team activities
  • Ensure office areas remain organized, stocked, and presentable
  • Maintain confidentiality of sensitive information and company records
  • Identify opportunities to improve administrative processes and efficiency
