Job SummaryThe Timekeeper is responsible for managing accurate time entry, reconciliation, and verification processes across multiple systems while supporting job site administrative and accounting functions. This role ensures timely and precise payroll and invoicing activities, supports accounts payable processes, and serves as a key point of coordination between field personnel and management to address timekeeping discrepancies, maintain compliance with procedures, and support overall site operations.
Key Responsibilities- Process time entry, reconciliation, and prior-day verification, including daily, weekly, and monthly input of new hires into systems such as J&E, STS, Kronos, Pro Field, and other client-specific software.
- Perform accounts payable functions, including matching invoices to purchase orders, identifying discrepancies, and ensuring receipt of correct items and quantities.
- Process and verify job-related documentation, including coding of job numbers, purchase orders, and tag numbers using forms and systems such as Leg Sheets, Material Sheets, Delay Forms, T&M Reports, and Unit Price transfer sheets.
- Troubleshoot and elevate timekeeping issues from the field, including missing employees, sign-in/sign-out errors, and discrepancies between recorded and scheduled hours.
- Generate and process invoices, ensuring accurate balance of hours and validation of invoice amounts per established procedures.
- Participate in regular meetings to communicate updates, priorities, and concerns.
- Provide general office and administrative support, including coverage during employee absences or peak workloads.
- Support prioritization of tasks and adjust work schedules in the absence of the Site Office Manager, as directed by management.
- Position requires on-site work in Canton, MA; relocation assistance and per diem are not offered.
- High school diploma or equivalent required;
Associate’s degree in Business preferred. - 1–3 years of timekeeping experience required.
- Strong written and verbal communication skills with the ability to interact effectively with employees, customers, and project personnel.
- Demonstrated leadership ability and professionalism to support and guide employees in achieving project and organizational goals.
- Ability to manage and analyze complex, time-sensitive data from multiple sources while maintaining confidentiality and exercising sound judgment.
- Proficiency in computer systems, including word processing, spreadsheets, and AS400 or similar business operation software.
- Construction industry experience
- Experience with TRACK system
- Frequent sitting, speaking, and use of hands for computer and administrative tasks
- Occasional standing and walking
- Ability to lift up to 10 pounds (e.g., files or manuals)
- Visual acuity including close vision, distance vision, peripheral vision, depth perception, color vision, and focus adjustment
