The Administrative Assistant in Beaver's shop is responsible for providing general office, secretarial and clerical support to members of the company staff as required. This position works with project teams to support internal and external interests.

Main Job Tasks & Responsibilities
  • Provides efficient administrative support for office with an eye on prioritization
  • Generate work orders in HCSS E360 for scheduled/unplanned PM’s for fleet vehicles
  • Evaluates, enters, approves any parts/supply invoices coming from Maintenance Manager, Shop Foreman, and shop purchasing agents
  • Monitors inventory levels alongside purchasing agents and small tools department
  • Track vehicle fleet mileage, hours, and personnel assigned to each asset
  • Utilize oil analysis program and maintenance software to build excel reports highlighting trends with corporate equipment
  • Handle all invoice entry and cost tracking for small tools department through HCSS E360

    Make sure all agreements are kept current and warranty documents are in E360
  • Work with accounting department to ensure accurate costing
  • Tasks and Responsibilities are subject to change
Skills & Requirements
  • Must be proficient in the use of Microsoft Office suite
  • Excellent verbal and written communication skills
  • Ability to multi-task, prioritize and organize
  • Ability to work independently and be self-motivated
  • Ability to be flexible
  • Excellent analytical, reasoning and problem-solving skills
  • Ability to maintain accurate and detailed records
Education & Experience
  • Prior experience working in a construction environment preferred
  • Prior office experience preferred
  • Minimum high school diploma
