The Court of Common Pleas, General Division, is seeking an individual to serve as an Administrative Assistant Pre-Trial Release Services, for the Pre-Trial Services Program. The primary purpose of this position, under direction, is to provide administrative, purchasing, information systems management and reception assistance to the Pre-Trial Services Director. Essential duties include reviewing requisitions for products or services; selecting products for purchase;
determine procurement method via direct payment or bid; prepare and review requisitions, proposals and bid requests; negotiate contracts within scope of authority, subject to the approval of the Director and/or Court Administrator; maintaining procurement records to include items or services purchased, costs, delivery, product quality and inventory; discuss defective or unacceptable goods or services with vendors, users, quality control personnel or others;
identify source of problem; take corrective action; scheduling all repair or service calls for items which need serviced; review invoices to ensure that they are appropriate for payment; plan conference and travel requests; prepare monthly and annual court statistic reports; preparation of annual inventory; answering and routing telephone calls; ensure that emergency calls are processed immediately with appropriate staff notified;
take complete, concise telephone or verbal messages, route immediately; prepare correspondence, report, table, chart or related project either written or oral in draft form; proofread copy, make corrections and obtain signatures when requested; maintain all printed material; maintain all files; greet and welcome visitors including staff and outside persons to Pre-Trial Services and route to proper person or area, while maintaining security protocol of inner office and L.E.A.D.S. Policy compliance;
develop reports; maintain information on various aspects and functions of Pre-Trial Services and assist the Municipal Court System (Alliance, Canton and Massillon) in obtaining this information; assist in monitoring defendants placed on Pre-Trial Services in person or on the phone until all Court dates are completed; prepare new case files for the program; type revocation letters when necessary; maintain records;
maintain strict confidentiality with respect to all operations of Pre-Trial Services; maintain high needs payments and procedures on defendants in prison, when needed, with County Clerk; assist the Director in gathering, as requested, any information from defendants and their victims for the purpose of HIV and venereal disease testing results under Ohio Revised Code 2707.27; meet regularly with supervisor; report any concerns or suggestions related to Pre-Trial Services office management.
Must be able to successfully pass a BCI and FBI Background Check for L.E.A.D.S. (Law Enforcement Automated Data System). Must possess a High School Diploma or General Equivalency Diploma. Must possess a minimum of three (3) years’ experience in an office setting. Previous experience in using multi-line telephone systems and Microsoft Word software preferred. Two (2) years’ experience in purchasing and two (2) years’ experience in office management preferred.
