Position Summary
The primary purpose of the Staffing Specialist is to perform assigned duties in an efficient manner, in accordance with established procedures to assure that staffing and scheduling are maintained to improve workflow, maintain positive patient outcomes, and reduce operational costs. The Staffing Specialists primary focus is to maintain adequate staffing, scheduling and support staff within Aultman Hospital. The Staffing Specialist will also handle a variety of clerical, administrative and resourcing duties.
The Staffing Specialist must provide professional, efficient, quality customer service always. Department Summary
The Staffing Office plays an essential role in supporting patient care by ensuring the right caregivers are in the right place at the right time. The department works closely with nursing leaders, clinical staff, and other departments to coordinate staffing across the hospital, respond to changing patient care needs, and help maintain safe staffing levels 24 hours a day, 7 days a week.
As part of the Staffing Office, the Staffing Specialist serves as a central point of communication for staffing operations. They work with leaders and frontline staff to coordinate staffing needs and help ensure each unit has the resources necessary to provide safe, high-quality patient care. This role requires strong communication, critical thinking, customer service, and the ability to make informed decisions in a fast-paced healthcare environment.
Qualifications
* High School Diploma or equivalent.
Skills
* Experience interacting with computers. Uses various office production equipment including multi-line phone, copiers, fax machines, computers, and printers to complete tasks.
* Able to cope with the mental and emotional stress of the position and deadlines.
* Able to remain calm in stressful situations.
* Maintain a safe and high reliability working environment by using your HRO Tools & Tones when interacting with each other and other members of the interprofessional team.
* Attention to detail in completing work tasks.
* Works well under pressure to meet deadlines.
* Must function independently with adaptableness, flexibility, integrity, and the ability to work effectively and efficiently with all levels of personnel.
* Must be able to multi-task and prioritize work in accordance with organizational position and necessity.
* Must be able to prepare a variety of administrative reports, statements, and correspondence. Gathers data and other necessary information.

Responsibilities & Expectations
* Answers incoming telephone calls in a professional and welcoming manner, determines purpose, notifies the appropriate team member.
* Balancing staffing based on inpatient census and patient acuity for the inpatient departments of the Aultman Hospital Clinical Nursing Division.
* Adjusting staffing and skill mix every four (4) hours based on census and patient acuity.
* Assure that staffing and scheduling procedures are maintained to improve workflow and reduce operational costs.
* Creates, maintains and revises department schedules and is responsible for its accuracy.
* Maintains an awareness of Administrative activities, operations, and policies to accurately respond to inquiries.
* Familiarizes self with physical layout of campus to deliver Administrative materials to key staff and to offer directions to visitors.
* Round on assigned inpatient units a Multiple times per shift to assess staffing needs and maintain effective communication with unit staff.
Working Conditions
* Variable shifts including weekends and holidays.
* Subject to changes in workflow and working shifts.
* Lunch periods and breaks must always be coordinated with other staff members to maintain adequate coverage.
* Works in well lighted, ventilated areas.
* Subject to frequent interruptions in completion of assignments.
* Involved with personnel under various conditions and circumstances.
* Subject to frequent changes in priority of duties throughout the day.
* Works with highly confidential data and situations.
Hazardous Exposure Category
Category III - Includes tasks that involve no exposure to blood, body fluids, or tissues and Category I tasks are not a condition of employment. The normal work routine involves no exposure to blood; body fluids or tissues (although situations can be imagined or hypothesized under which anyone anywhere might encounter potential exposure to body fluids.)
