Delta V Management, LLC., part of The Heart Brands, is a full-service management organization providing services including Talent Acquisition, Human Resources, Benefits Administration, Vehicle Dispatching, Appointment Verification, Fleet Management, Content Development and Production, and more. Delta V Management currently provides day-to-day management and operational support to Relia Ride Medical Transportation, a family-oriented nonprofit organization founded in 2007. Relia Ride specializes in providing non-emergency transportation services to elderly individuals, individuals with disabilities, and others needing transportation to medical, non-medical, and other essential appointments.

This position will be employed by Delta V Management and will support both Delta V Management and Relia Ride. As The Heart Brands and Delta V Management continue to grow, the scope of this position may expand to support additional businesses and organizations managed by Delta V, creating opportunities for continued professional growth and increased leadership responsibility.

The Executive Assistant serves as the first point of contact for many clients, visitors, and business partners while providing administrative and scheduling support to Executive Leadership. This role is responsible for maintaining a professional and welcoming office environment, coordinating executive calendars and communications, managing designated company Google Calendars, and assisting with day-to-day operational needs. Success in this position requires professionalism, discretion, strong organizational skills, attention to detail, and a commitment to supporting the overall success of the organization.

Summary

We are seeking a highly organized, detail-oriented Executive Assistant who embodies our brand, mission, and values. The ideal candidate is passionate about supporting employees and leaders while ensuring accountability, and consistency across the organization. This full-time, on-site position is responsible for being the first point of contact for many clients, visitors, and business partners, while providing administrative support to Executive Leadership.

This role is responsible for maintaining a professional and welcoming office environment, coordinating executive calendars and communications, and managing designated company Google Calendars. Success in this position requires professionalism, multi-tasking, attention to detail, discretion, strong organizational skills, and a commitment to supporting the overall success of the organizations.

Key Responsibilities 1. Executive Reception and Front Office Expectations
  • Serve as the first point of contact for visitors entering the office.
  • Greet visitors professionally and assist with questions regarding all companies and services.
  • Welcome visitors and direct them to the appropriate office, conference room, or podcast studio.
  • Maintain and welcoming, presentable, professional, and organized front office environment.
  • Maintain professionalism, communication, and confidentiality during all guest and client interactions.
2. Executive Scheduling and Communication
  • Coordinate scheduling for Executive Leadership, including both in-person and online meetings.
  • Manage executive calendars, scheduling priorities, and schedule coordination with accuracy, discretion, and attention to detail.
  • Serve as the primary administrator for designated company Google Calendars, ensuring calendar information remains accurate and up to date through the management of approved PTO requests, employee birthdays, company events, meetings, scheduling changes, etc.
  • Answer inbound phone calls professionally and direct calls and voicemails to the appropriate team member.
  • Maintain timely and professional communication regarding scheduling changes, meeting confirmations, and follow-up needs.
  • Demonstrate reliability, responsiveness, organization, and attention to detail in all scheduling and communication responsibilities.
