Position: Secretary to Associate Principal/504 Clerk

QUALIFICATIONS:

504 Clerk Responsibilities
  • Manage active 504 student cases/files.
  • At the beginning of the school year, convert incoming freshman data and files to high school reports and files.
  • At the beginning of each year, create teacher input and counselor report google forms.
  • Evaluate all new students for meetings and accommodation status.
  • Call for appointments for meetings, annual and special meetings fill out/scribe 504 reports before meetings.
  • Archive all 504 reports, meetings and relevant documentation.
  • Send out teacher input forms.
  • Sent out counselor report forms.
  • Call to remind parents about next day meetings.
  • Send out reminders by email to parents, teacher and student about next day meetings.
  • Organize meetings and brief coordinator for 504 meetings.
  • After each meeting type out/record deliberations, complete reports and archive every 504 meeting or applicable meeting.
  • Intake and service of 504 inquiries and initial students.
  • Quarterly reconciliation of 504 lists.
  • Work with 504 coordinators from other schools when a student has withdrawn/moved.
  • Help 504 students taking dual credit class to get accommodations with their college.
  • Intake of initial homebound students and case requirements for services.
  • Assist in the management of homebound services for students, cases and files.
  • MDRs (make appointments, take notes at meetings, record deliberations, archive).
  • Preparing and archiving documents and files for legal proceedings and grievances involving 504 students.
  • Customer service for students, teachers and families.
Secretary to Associate Principal Responsibilities
  • Serve as a representative of the Associate Principal and Canyon High School.
  • Customer service for public, teachers, students and families.
  • Answer calls and take messages (phone and in person).
  • Brief Assoc. Principal as to issues that need to be addressed regarding teachers, students and families and the public.
  • Return phone calls and emails on behalf of the Assoc. Principal.
  • Make all calendar appointments (504, Parent meetings/calls, TTESS, MTSS, IGC, MDR, HB4545, etc.).
  • Discuss issues and troubleshoot with the Associate Principal regarding students, parents and different situations that need to be addressed.
  • Help with customer service of students and teachers in the counseling center.
  • Send an email reminder to all participants of next day’s meeting.
  • Set up and break down meetings, luncheons and special events.
  • Taking notes at meetings.
  • Assist and support teachers/staff as needed (ex. work front desk).
  • Assisting and hospitality with/of campus visitor.
  • IGCs (make appointments, take notes at meetings, organize files).
  • MTSS (make appointments, take notes at meetings, organize files).
  • HB1416 (make appointments, take notes at meetings, organize files).
  • Help with crisis management of situations that arise on campus or with students as needed.
  • All other miscellaneous tasks as assigned.
Special Projects
  • Assisting with registration of students at the beginning of the year.
  • Logistics and implementation of Interview Week.
  • CRUSH/Freshman orientation.
  • College Visit to WT.
  • Help with large staff/school gatherings (class meetings, long lunch, special speakers, cap and gown day, class rings day, superintendent scholar, staff meetings, etc).
  • Bulk mails to parents.
  • Assist with graduation preparations.
  • Setup and breakdown of special events, luncheons and breakfasts, etc.
