QUALIFICATIONS:

  • Minimum one year of administrative or clerical experience required
  • Experience working in an educational or childcare environment preferred
  • Strong organizational, interpersonal, and communication skills, both oral and written
  • Proficiency in Microsoft Office Suite, Google Workspace, and data entry systems
REQUIREMENTS:

The After school Program Secretary will provide administrative and clerical support to ensure efficient operation of the after school program.

Responsibilities include, but are not limited to:

  • Oversees monthly tuition billing and collections, including issuing late fees and maintaining accurate payment records through My School Bucks
  • Maintain and update program documents, including attendance records, registration forms, My School Bucks spreadsheets, supply requisitions, and withdrawal paperwork
  • Communicate effectively with parents via phone, email, and Parent Square to address inquiries, provide information, and relay messages from program leadership
  • Process and track program supply orders and ensure accurate documentation of financial and enrollment records

    Assist in maintaining compliance with district and program policies regarding student records and confidentiality
  • Collaborate with program staff and campus leadership to ensure smooth day-to-day operations
  • Provide exceptional customer service to families while maintaining professionalism and adhering to program policies
  • Exhibit empathy and understanding toward families while remaining firm in upholding established procedures
  • Demonstrate initiative, attention to detail, and problem-solving skills in handling administrative challenges
  • Perform other duties as assigned by the Program Manager or district administration
