Sales Support Specialist (Promotional Products Experience Required) — Health Merch
Health Merch partners with healthcare organizations to build their brands and strengthen culture through promotional products. We work with community health centers, nonprofits, hospital systems, and mission‑driven teams that are doing real work in their communities. Our job is to help them tell that story.
We're hiring a Sales Support Specialist to be the operational backbone of our sales team. This is the person who keeps the work clean: quotes built accurately, orders entered the same day, proofs tracked, vendors followed up with, production timelines protected, and Account Managers always one step ahead of the client. When this seat is run well, nothing slips and no one has to ask.
This role is not for someone new to promo. It is for someone who already knows suppliers, decorators, proofs, lead times, and freight, and who treats accuracy as a default, not a goal. You will work alongside our Account Managers in the US, and you will own the quote‑to‑order process end to end.
Hours:
we'll align on a schedule that overlaps strong with US Eastern hours. Many teammates work roughly 8:00 AM to 5:00 PM EST, Monday through Friday.
- Building accurate, well‑margined quotes using ASI, supplier sites, and our internal tools
- Sourcing products, confirming stock, lead times, and decoration methods, and recommending smarter alternatives when they exist
- Negotiating supplier pricing where there's room to improve margin
- Entering every order in Business Central before the end of the day
- Tracking proofs, production, and shipments, and following up daily with vendors and decorators
- Catching risks early (timing, decoration, freight, stock) and resolving them before they reach the client
- Keeping Account Managers informed at every step so they're never surprised on a client call
- Owning clean handoffs with Design and Order Entry
- Writing polished, professional client communication when you're pulled into the conversation
- Strengthening templates, checklists, and workflows as you find ways to make the work tighter
- You've worked inside the promotional products industry and you speak the language
- You're detail‑oriented to the point that mistakes bother you
- You stay calm and organized when several orders are moving at once
- You communicate clearly and directly, in writing and on calls
- You're proactive: you gather missing info, close loops, and don't wait to be told
- You speak up when something is off
- You finish what you start

- Has never worked in promotional products
- Gets overwhelmed easily
- Struggles with accuracy
- 2 to 3+ years in the promotional products industry
- Real experience managing order flow from quote through delivery
- Working knowledge of suppliers, decorators, proofs, and logistics
- Comfort with ASI, Sage, or ESP
- Comfort with Commonsku, Syncore, or a similar platform
- Google Sheets or Excel, Slack, and ideally Canva
- Bonus if you've used Business Central, Antera, Order My Gear , or any ERP connected to the promo world
- Full‑time, remote, Philippines‑based
- Pay starts at Php 73,489.38 ($1,250 USD) per month

You become the operational backbone of the sales team. Your work directly affects revenue, margin, and client experience. You'll work across Sales, Design, Operations, and Vendors, and you'll learn the promo industry deeply, from sourcing to decoration to freight.
