Administrative Assistant Temporary Pool Summary

Applying for this position will place you in a general temporary pool of candidates with Southeast Missouri State University for non-benefit eligible positions in departments and campuses throughout the University. Qualified applicants are placed into temporary administrative assistant assignments as positions become vacant; when regular employees are absent; during peak work periods; and for special events. Temporary administrative assistants may work up to 29 hours per week.

Duties

and Responsibilities
  • Provides administrative support to the assigned department
  • Performs computer applications, including word processing, spreadsheet and database,
  • Processes department requisitions, invoices, expense reports and transfers
  • Orders department supplies
  • Answers and directs department phone calls
  • Schedules appointments and meetings for the department
  • Enrolls students in education courses and maintains course wait lists (if supporting Academic unit)
  • Organizes and processes textbook orders and advising assignments (if supporting Academic unit)
  • Handles confidential materials
  • Oversees training, scheduling and work assignments for student workers
  • Attends and records minutes of department meetings
  • Assists current and prospective department students
  • Any other duties as assigned by supervisor
Requirements
  • High school diploma or GED
  • Excellent organizational and time management skills
  • Excellent interpersonal, verbal and written communication skills
  • Demonstrated ability to handle multiple tasks with frequent interruptions
  • Demonstrated ability to synthesize detailed information to make sound, independent decisions with minimal supervision
  • Demonstrated bookkeeping skills
  • Ability to initiate and maintain positive relationships with students, faculty, staff and the public
  • Demonstrated experience and understanding of customer service
  • Demonstrated commitment to a diverse work environment, including working with multi-cultural populations and an understanding of, and sensitivity to, issues affecting women and minorities
