Our client is a successful and reputable Investment Management organisation who currently has a new role due to the expansion of their business and their client service team. They are now seeking a highly organised, detail-oriented Client Service Coordinator to join their Client Services team. This role plays a key part in ensuring excellent client service, smooth internal coordination, and efficient administrative support across the business.
The ideal candidate is proactive, personable, professional, and comfortable managing multiple tasks in a fast-paced environment.
- Act as an internal point of contact for client queries.
- Handle client communications professionally via phone and email.
- Maintain accurate and up-to-date client records in the CRM system.
- Monitor shared inboxes and ensure timely, high-quality responses to client requests.
- Coordinate client service tasks and deadlines within the team.
- Track progress on key activities and follow up to ensure timely completion.
- Communicate changes, priorities, and constraints to relevant stakeholders.
- Support effective workload management through clear, proactive communication.
- Schedule and coordinate all quarterly client meetings.
- Arrange venues and send meeting confirmations.
- Upload client report packs in advance of meetings.
- Convert AI-generated notes into polished meeting minutes.
- Record meeting actions and ensure they are clearly documented and assigned for follow‑up.
- Liaise with venues and suppliers for client events.
- Manage attendee lists and track logistical requirements (e.g., dietary needs).
- Provide client-facing support before and during events as required.
- Contribute actively to planning and execution of Insights events.
- Occasional travel may be required.
- Coordinate annual and long‑term client gifting programmes.
- Manage gift sourcing, preparation, delivery, and tracking.
- Provide onboarding and training for new client teams.
- Assist with navigation, access, and content‑related queries.
- Support the maintenance and accuracy of portal content.
- Prior experience in administration or client service is beneficial but not essential.
- Prior experience in financial services is beneficial.
- Strong communication and interpersonal skills.
- Confident, professional telephone manner.
- Excellent organisational ability and high attention to detail.
- Comfortable managing multiple priorities.
- Proactive, reliable, and process driven.
- Capable of working both independently and within a team.
- Competent user of CRM systems and Microsoft Office applications.
- Positive attitude, willingness to learn, and commitment to exceptional client service.
