PERSONAL ASSISTANT / ADMIN & OPERATIONS COORDINATOR

DescriptionWe are looking for a highly organised, proactive and detail-driven Personal Assistant to support senior management and play a key role across HR, finance administration and operations.
This is a fast-paced role requiring excellent multitasking skills, strong prioritisation and the ability to work independently while maintaining absolute confidentiality.
Critical Skills- Exceptional organisational and time-management skills
- Strong attention to detail and accuracy
- Ability to multitask while meeting deadlines
- High level of professionalism, reliability and confidentiality
- Excellent written and verbal communication skills
Proficiency in MS Office and accounting/admin systems (Sage an advantage) - Valid driver’s licence (advantageous)
- Non-smoker / Non-vaper
- Sober habits
HR & Finance Administration
- Manage petty cash for multiple branches and capture transactions accurately
- Capture supplier invoices and credit notes in Sage Accounting
- Reconcile supplier statements and liaise with suppliers and accountants
- Maintain staff attendance, overtime and leave records
- Assist with staff onboarding documentation, credit applications and accreditations
- Coordinate staff training, medicals, certifications and compliance records
- Maintain calendars, schedule meetings and interviews for management
- Manage office supplies, groceries, cleaning materials and service providers
- Assist with staff events and company functions
Operations & Logistics
- Book national travel (flights, accommodation and car hire) for teams
- Maintain PPE, vehicle, training and equipment registers
- Coordinate vehicle servicing, repairs and insurance claims
- Capture monthly hours and kilometres on client compliance platforms
- Liaise with external service providers (printers, vehicle tracking, safety platforms)
- Support staff with system access and compliance platforms
- Ensure offices are tidy, compliant and professionally maintained
Executive & Personal Support
- Provide trusted PA support to senior management and Directors
- Handle ad hoc administrative and personal requests with discretion
